JOB DESCRIPTION Receptionist DIVISION: Human Resources GRADE: 10 DEPARTMENT: Human Resources WORK DAY: 240 REPORTS TO: Director of Employee Relations FLSA STATUS: Non-Exempt JOB CLASS: 4873 GROUP: Classified POSITION SUMMARY
The Receptionist serves as the welcoming face of the school, greeting and directing visitors with a friendly demeanor. This role is essential for responding to inquiries from both staff and visitors, ensuring everyone receives the necessary information or is appropriately referred to other parties. The Receptionist plays a key role in facilitating a smooth and efficient flow of communication within the school environment. MINIMUM REQUIREMENTS EDUCATION:
Skills-based Competencies
Required to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment including pertinent software applications; adhering to safety practices and procedures; promoting activities and/or events; screening telephone calls; using general office software applications.
Knowledge-based Competencies
Required to perform basic math, read a variety of manuals, and/or present information to others; and understand complex, multi-step written and oral instructions. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: professional/business telephone etiquette; concepts of grammar, spelling and punctuation; keyboarding; knowledge of community resources; office equipment and technology; personnel administration practices; recordkeeping and record retention practices; and school safety and security practices.
Ability-based Competencies
Required to schedule activities and/or meetings; gather and/or collate data; and use basic, job-related equipment. Flexibility is required to independently work with others in a wide variety of circumstances; work with data utilizing specific, defined processes; and operate equipment using defined methods. Ability is also required to work with a wide diversity of individuals; work with similar types of data; and utilize specific, job-related equipment. Problem solving is required to analyze issues and create action plans. Problem solving with data may require independent interpretation; and problem solving with equipment is limited. Specific ability based competencies required to satisfactorily perform the functions of the job include: communicating with diverse groups; maintaining confidentiality; meeting deadlines and schedules; setting priorities; working as part of a team; working with detailed information/data; making independent decisions; attending to accuracy and detail; adapting to changing work priorities; analyzing issues and determining appropriate course of action; communicating with persons of diverse backgrounds; displaying tact and courtesy; organizing tasks; and working with frequent interruptions. ESSENTIAL DUTIES
- Answers district office telephone system for the purpose of responding to inquiries, transferring calls, and/or taking messages.
- Distributes items within the site (mail, special deliveries, packages, supplies, etc.) for the purpose of distributing materials to appropriate parties.
- Greets individuals entering the building (visitors, parents, students, vendors, etc.) for the purpose of responding to inquiries and/or directing individuals to appropriate locations in accordance with established building security procedures.
- Maintains reception area materials and files (newsletters, event calendars, etc.) for the purpose of providing resource information to visitors.
- Maintains building information (use schedules, staff directories, emergency contacts, etc.) for the purpose of providing reference information.
- Oversees the distribution of mail/packages to staff for the purpose of ensuring delivery to appropriate personnel.
- Performs general clerical functions (scheduling, copying, faxing, data entry, filing, etc.) for the purpose of supporting office operations.
- Responds to emergency calls for the purpose of notifying appropriate parties to address immediate safety and/or security issues.
- Allocates charges for mail and other similar expenses to applicable departments.
- Enters maintenance requests for Board Office building
- Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit
