Software Asset Management (SAM) Analyst – ServiceNow Reconciliation

Location: Houston, TX
Work Arrangement: Hybrid, onsite Monday–Thursday / remote Friday
Employment Type: W2 Contract
Pay Rate: $38–$45/hour W2

Overview

Our client is seeking a detail-oriented Software Asset Management (SAM) Analyst to support software asset management operations, license reconciliation, ServiceNow data maintenance, and audit-readiness activities.

This role is well suited for an entry-level to early-career professional with experience in Software Asset Management, IT Asset Management, software licensing, vendor management, or ServiceNow-related data operations.

The position will focus on reconciling software license entitlements with supplier records, contracts, invoices, and ServiceNow data while maintaining accurate, complete, and audit-ready software asset records.

Key Responsibilities

Software License Reconciliation

• Perform recurring reconciliations between software license entitlements, supplier records, invoices, contracts, and ServiceNow data.
• Compare software entitlement data against internal records and supporting documentation.
• Identify, research, and resolve data discrepancies.
• Escalate unresolved licensing or data issues to the appropriate internal teams.
• Document variances, resolutions, and corrective actions.

ServiceNow Data Management

• Maintain accurate and complete records in ServiceNow for software applications, entitlements, contracts, and related asset data.
• Update required fields and ensure record completeness and consistency.
• Support ongoing data cleanup, normalization, and record-hygiene activities.
• Validate software asset data for accuracy and audit readiness.
• Help maintain reliable relationships between software, entitlement, vendor, and contract records.

Data Import & Transformation

• Import data from Excel and other sources into ServiceNow.
• Create and manage data sources, field mappings, transformations, and validation steps.
• Review imported data for accuracy and resolve errors or inconsistencies.
• Support recurring data loads and reconciliation cycles.
• Assist with improving repeatability and accuracy across data-management processes.

Vendor & Supplier Coordination

• Research software vendors and licensing information.
• Access supplier portals to retrieve software entitlement records, invoices, and supporting documentation.
• Maintain current vendor contact information.
• Coordinate with vendors and internal teams to resolve licensing and data discrepancies.
• Track outstanding documentation and follow up as needed.

Compliance & Audit Readiness

• Maintain supporting evidence for software licensing and entitlement records.
• Follow established licensing policies, internal controls, and documentation requirements.
• Support software audit preparation and compliance activities.
• Ensure records are complete, traceable, and audit-ready.
• Assist with retention of proofs of entitlement and other licensing documentation.

Process Improvement

• Identify opportunities to improve reconciliation, data management, and documentation processes.
• Recommend ways to reduce manual effort and improve data accuracy.
• Support development of repeatable SAM and ITAM processes.
• Help improve consistency across software asset records and reconciliation activities.

Required Qualifications

• Experience in Software Asset Management, IT Asset Management, software licensing, vendor management, CMDB operations, data reconciliation, or a related area.
• Strong experience with data reconciliation, including comparing entitlements, invoices, contracts, and system records.
• Hands-on experience with ServiceNow SAM, ITAM, CMDB, or related modules, or the ability to learn ServiceNow quickly.
• Strong Microsoft Excel skills, including pivot tables, filters, VLOOKUP/XLOOKUP, and working with large datasets.
• Strong attention to detail and data accuracy.
• Ability to identify and investigate discrepancies independently.
• Excellent written and verbal communication skills.
• Ability to work effectively with internal teams and external vendors.
• Strong organizational skills and the ability to manage recurring activities across multiple vendors and data sets.

Preferred Qualifications

• Experience with ServiceNow SAM Pro, ITAM, or CMDB.
• Experience with ServiceNow data imports, normalization, transformations, or governance.
