We are seeking a polished, driven, personable, and highly organized Client Intake Specialist who understands that first impressions matter. This role is mission-critical, as you are the voice of the firm, the first-person potential clients will communicate with and the gateway to our Firm.

The Role

This is a full-time, 100% in-person position based in our Aliso Viejo office.

The Client Intake Specialist is responsible for managing incoming inquiries, qualifying potential clients, documenting case details accurately, and guiding prospective clients through the initial consultation process with professionalism, empathy, and strategic advocacy.

This is not a passive administrative role. We are looking for someone competitive, goal-oriented, and motivated to convert qualified leads into potentially retained clients while maintaining the highest standards of service.

The successful candidate must be organized, proactive, and extremely comfortable on the phone.

Key Responsibilities

• Professionally answer and manage inbound calls and web inquiries
• Qualify potential clients by identifying case type and urgency
• Accurately input and manage client data within CRM systems
• Schedule consultations and coordinate with legal team
• Maintain detailed notes and documentation
• Following up with potential clients in a timely and persuasive manner
• Meet and exceed conversion and performance goals
• Always maintain confidentiality and discretion
• Report to the firm’s Chief Growth Officer

Required Qualifications

Experience

• 2+ years in sales, customer service, or call center environment
• Proven ability to meet or exceed performance metrics
• Experience with CRM platforms (HubSpot a plus)

Required Skills

• Strong written and verbal communication skills
• Professional, polished phone presence
• Ability to demonstrate empathy while maintaining persuasive influence
• Highly organized with strong attention to detail
• Ability to multi-task effectively in a fast-paced environment
• Typing speed of at least 40 WPM while actively speaking with clients
• Competitive mindset with a desire to outperform goals

Compensation & Benefits

• Competitive compensation f $30.00-$35.00 per hour (DOE)
