Position Summary

The Marketing and Events Production Manager plays a pivotal role in shaping the Westmont College brand experience. This position serves as the operational hub of the Enrollment, Marketing, and Communications (EMC) division, bridging the gap between creative strategy and excellence in execution. You will lead the project management of integrated marketing campaigns and curate immersive, high-impact events for prospective students for the broader college community.

We are looking for a strategic thinker who is also a master of logistics—someone capable of managing fast-paced creative workflows while delivering "concierge-level" hospitality at premier college events.

Core Responsibilities

1. Marketing Operations and Project Management

• Workflow Leadership: Serve as the primary administrator for the division’s project management software (Wrike). Manage the full lifecycle of marketing projects—from intake and scheduling to production, approval, and delivery—ensuring on-time execution for print, digital, and video campaigns.
• Vendor and Inventory Management: act as the primary liaison for external print and creative vendors, negotiating contracts and ensuring quality control. oversee the EMC warehouse, inventory levels, and brand collateral management.
• Data and Analytics: Collaborate with data analysts to develop "leading indicator" reports on key campaigns and events outcomes.
• Cross-Functional Collaboration: Partner with the Digital Media and PR teams to align social media content, video production, and web assets with broader campaign goals to support events planning and promotion.

2. Event Strategy and Experience Design

• Strategic Admissions Events: Design and execute high-conversion recruitment events (e.g., Preview Days, Admitted Student Days) that reflect Westmont’s premier liberal arts academic reputation.
• Brand Experience: Implement a "concierge model" of guest service for events. ensure every touchpoint—from the invitation design to the day-of signage and catering—reinforces the Westmont brand and creates a welcoming, impressive environment.
• Campus Liaison: Serve as the EMC point person for campus-wide collaborations, coordinating with Facility Services, Campus Safety, Catering, Athletics, faculty and staff to ensure seamless logistics.
• High-Profile Support: Provide logistical leadership to maintain standards of excellence for events planning consistent with enrollment goals.
• Event Analytics: Create post-event evaluation tools (surveys/feedback loops) to analyze guest sentiment and inquiry-to-enrollment conversion trends, adapting strategies based on data.
• Support Strategic Staff Events: Assist VP EMC with annual Staff Forums. Carry out logistics and media support for four forums per year.
• Lead and Manage the Campus Events Master Calendar: collect dates and information and prepare the annual master calendar for college events, providing the final versions for digital and print promotion, schedule management.

3. Team Leadership and Crisis Support

• Team Supervision: Manage and motivate creative support staff (including potential direct reports or student workers) to ensure timely productivity and professional development.
• Crisis Logistics: Serve as a key administrator alongside the VP during crisis situations, managing event-type logistics for first responders, press, and campus needs (triage, housing, catering) as required.

Qualifications and Requirements

Education and Experience:

• Education: Bachelor’s degree in Marketing, Communications, Business, or a related field required. Master’s degree is a plus.
• Experience: Minimum of 4 years of experience in project management, event production, or marketing operations. Experience in Higher Education is highly desirable.

Technical Competencies:

• Project Management: Knowledge in project management software (Wrike, Asana, Basecamp, Slack, Salesforce – all a plus but not required).
• Digital Fluency: Strong proficiency in MS Office Suite and Google Workspace. Experience with CRM systems (Salesforce or Slate) is a strong advantage.
• Creative Aptitude: Functional knowledge of Adobe Creative Suite (InDesign, Photoshop) and familiarity with video production workflows.

• Communication: Exceptional written and verbal communication skills, with the ability to edit marketing copy and present to leadership.

• Interpersonal Skills: A collaborative team player with a high "EQ" (Emotional Intelligence), capable of building relationships with students, parents, staff, faculty, and vendors.
