The Shipping & Facilities Coordinator is responsible for managing daily mail and shipping operations and supporting overall office functionality. This role ensures efficient handling of domestic and international shipments while maintaining a clean, organized, and well-functioning workplace.

This role is required to work on-site five days a week (Monday-Friday) at our Westlake Village, CA office.

Responsibilities

• Mailroom & Shipping
  • Receive, sort, and distribute incoming mail and packages
  • Process outgoing shipments, including domestic and international shipping documentation (proformas, customs)
  • Coordinate with carriers (USPS, FedEx, UPS, DHL)
  • Maintain shipment logs and records
  • Perform post office runs and deliveries
  • Provide responsive, customer-focused support to employees for mail, shipping, and delivery inquiries
• Facilities & Office Support
  • Maintain clean, organized common areas, including conference rooms, kitchens, and shared spaces
  • Restock office, kitchen, print, and coffee/snack supplies
  • Conduct daily office walkthroughs and perform ongoing checks throughout the day to ensure a clean, organized, and fully functional workplace
• Event & Meeting Support
  • Support meeting and event setup, breakdown, and room readiness
  • Ensure conference rooms are reset, cleaned, and fully prepared between meetings
  • Monitor meeting spaces throughout the day to maintain cleanliness, organization, and readiness
  • Set up and replenish meeting room supplies (e.g., water, notepads, markers, technology as needed)
  • Assist with larger company events, including logistical coordination and vendor support
  • Other duties as assigned

Qualifications

Experience, Knowledge, & Skills You Bring:

• 1-2 years experience in mailroom operations, shipping/logistics, or facilities support
• Hands-on experience with international shipping, carriers, including proformas and customs requirements
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
• Strong customer service skills
• Bilingual English-Spanish preferred

Education & Certification:

• High school diploma or equivalent required
• Valid driver's license required

Physical Requirements:

• Ability to routinely stand, walk, and move through the office for extended periods of time
• Ability to lift, carry, and move packages and supplies up to 50 pounds unassisted
• Ability to reach, bend, and perform tasks requiring manual dexterity (e.g., handling shipments, stocking supplies, setting up rooms)
• Ability to operate standard office equipment, including computers, phones, printers, and postage/shipping equipment
• Ability to perform frequent movement between work areas, including mailroom, common areas, and conference rooms

Travel Requirements:

• Must have a valid driver's license and reliable personal vehicle for business use
• Required to use a personal vehicle to perform daily job duties, including mail pickup, shipping drop-offs, and other local errands

This role performs routine, well defined support or operational tasks under close supervision to achieve standardized work outcomes.

Hiring Pay Scale: $20 to $23 per hour
