Maintain project documentation, including contracts, change orders, and correspondence, ensuring all records are accurate and up to date. Coordinate with subcontractors and suppliers to schedule deliveries and manage on-site activities, fostering effective communication among all parties involved. Monitor project progress and prepare regular status reports for project managers, highlighting any potential issues or delays. Participate in project meetings, taking detailed minutes and following up on action items to ensure accountability and progress. Support the procurement process by obtaining quotes, processing purchase orders, and tracking material deliveries. Assist in the preparation of project budgets and forecasts, helping to track expenses and identify cost-saving opportunities. Conduct site visits to monitor work quality and compliance with safety regulations, ensuring that all team members adhere to industry standards. Help resolve any conflicts or issues that arise during the project, acting as a liaison between different stakeholders to facilitate solutions. Maintain a positive and collaborative work environment, contributing to team morale and fostering a culture of excellence. Utilize project management software to track timelines, budgets, and resource allocation, ensuring transparency and accountability. Requirements A bachelor's degree in construction management, civil engineering, or a related field is preferred. At least 2 years of experience in project coordination or administrative support within the construction industry. Strong organizational skills with the ability to manage multiple tasks and prioritize effectively. Excellent verbal and written communication skills, with a focus on clarity and professionalism. Proficiency in project management software and Microsoft Office Suite, particularly Excel and Word. Familiarity with construction terminology, processes, and regulations is a plus. Ability to work independently as well as collaboratively in a team environment. Strong problem-solving skills and a proactive approach to challenges. Attention to detail and a commitment to maintaining high-quality standards in all work. Nice to have Experience with AutoCAD or other design software is advantageous. Knowledge of safety regulations and best practices in construction. Previous experience working with subcontractors and suppliers in a construction setting. Certification in project management (e.g., PMP, CAPM) is a plus. Bilingual abilities can be beneficial in enhancing communication with diverse teams.
