JOB SUMMARY
Works under general supervision to provide administrative support to researchers by identifying funding opportunities, assisting with preparation and processing of proposals, negotiating contracts, receiving awards, and assisting in administration. This position will be responsible for the day-to-day regulatory and study activation activities of the DOT as listed. There will be no patient contact in this role within the Simmons Comprehensive Cancer Center (SCCC) Clinical Research Office (CRO), Regulatory Administration team.

ESSENTIAL FUNCTIONS

• Velos Budget Build
  • Creation of Velos budget builds/upload budgets into Velos associated with patient calendars to streamline and automate departmental research billing.
  • Work with the SCCC CRO Accounting Supervisor to review and verify post award milestones for billing.
  • Develop SOPs and DOPs as they relate to the new process.
  • Work with Internal Stakeholders and the Sponsored Programs department to ensure processes are followed departmentally and operate appropriately.
• Time to Activation
  • Manage clinical trial budget negotiations and approvals for modifications.
  • Assist with feasibility budgets for investigator-initiated trials.
  • Work with ancillary departments for completing clinical trial processes related to studies under SCCC CRO.
• General
  • Maintains working relationships with faculty and academic departments across UTSW to help oversee the conduct of hematology/oncology clinical trials as assigned.
  • Maintain general knowledge and stay up to date on the CTCA process.
  • Attend all meetings and trainings as they relate to the day-to-day duties of the job.
  • Update all applicable databases/spreadsheets.
  • Work under limited supervision.
  • Performs other duties as assigned.

EXPERIENCE AND EDUCATION

Required

• Education
  Bachelor's Degree in business administration, public administration, or related field. 
  
  

• Experience
  2 years of experience in business or public administration with emphasis on customer service in financial or contracting position. 
  Applicants without the stated degree, but with significant additional professional applicable experience may be considered in lieu of education requirement. 
  
  

JOB DUTIES

• Provides funding opportunity information to potential applicants by reading newsletters and announcements, searching directories and funding files, identifying and matching sponsor with researcher, and mailing out information.
• Provides guidance to researchers for proposal development and submission by interpreting sponsor and university announcements and guidelines on application preparation and content by reviewing proposals for completeness and adherence to guidelines and mailing out proposals in timely manner.
• Provides grants management support to researchers by negotiating and processing awards, interpreting award conditions, obtaining approvals for award changes, and obtaining required reports.
• Drafts and negotiates contracts with various agencies (state and federal government, private organizations), pharmaceutical companies, and biotechnology companies to achieve agreements satisfactory to all parties following state laws and Board of Regents' guidelines.
• Provides guidance and assistance to researchers as necessary for implementation and negotiation of research contracts, including sponsored research agreements and material transfer agreements.
• Monitors status of contracts for completion.
• Performs other duties as assigned.
