Business Development Coordinator

Position Description The Business Development Coordinator reports to the Business Development Specialist and Business Development Manager and provides operational and administrative support to the firm's BD function. This is an early-career role that offers meaningful exposure to legal marketing and business development work, with strong potential for growth within the department. Responsibilities Proposal Production: Coordinate the production of pitch decks, proposals, and credential packages, including formatting, proofreading, version control, and distribution. Expertise Management/Tracking: Assist with maintaining and updating the firm's experience database, attorney bios, practice group descriptions, and matter lists. Ensure information is current and accurately reflected in BD materials. Client List Support: Assist the BD team with maintaining and updating client and prospect lists, including data entry, list cleanup, and segmentation support to ensure lists remain accurate, current, and useful for BD outreach and events. Pipeline Tracking: Monitor attorney activity reports and update pipeline and activity trackers as directed by the BD Manager and Specialist. Directories/Rankings: Provide administrative support for directory and ranking submissions, including gathering data, organizing submission materials, and tracking deadlines. Events Support: Support logistics for client events, webinars, attorney BD meetings, and sponsorship activations. AI-Assisted Production: Use AI tools to support day‑to‑day production tasks, including drafting first passes of standard collateral, formatting documents, and organizing research. Follow team guidelines on responsible and consistent AI use in client‑facing and internal materials. File and System Management: Maintain and update the BD team's shared drives, filing systems, template libraries, and tracking spreadsheets. Scheduling and Coordination: Handle scheduling and logistics for BD team meetings, attorney BD sessions, and practice group meetings. Special Projects: Provide general administrative and project support to the BD Manager and Specialist as needed. Knowledge, Skills and Abilities Required Bachelor's degree required or in progress; 0–2 years of experience in a professional services environment, ideally a law firm, consulting firm, or financial services organization. Strong organizational skills and exceptional attention to detail. Clear, professional written and verbal communication skills. Proficiency in Windows and Microsoft Office Suite (Word, PowerPoint, Excel). Ability to manage multiple deadlines simultaneously and follow through on tasks without prompting. Ability to work with all levels of personnel in a professional and responsive manner. A positive, team‑oriented attitude and willingness to take on a variety of tasks. Curiosity about business development, legal marketing, and the business of law. Familiarity with AI tools (such as Claude, ChatGPT, or Copilot) for drafting and research; willingness to learn and apply team AI workflows preferred.
