The Role

The Clubhouse Director is responsible for the overall management and day-to-day operations of the Clubhouse, serving as the on-site leader for staff and a primary liaison to families, partners, and the community. The Clubhouse Director is focused on creating and fostering a positive staff culture while ensuring a safe, fun, inclusive, and engaging Club experience for youth.

The Clubhouse Director works in close partnership with the Director of Quality to ensure programs and operations consistently meet BGCWPA quality standards, licensing requirements, organizational expectations, and recognized best practices for youth development. Together, these roles support continuous improvement, staff development, program quality, compliance, and a culture of excellence throughout the Clubhouse.

The Clubhouse Director is also responsible for the recruitment, supervision, and support of staff, youth members, volunteers, and community partners to ensure the Clubhouse remains a vibrant and active community asset.

This dynamic position requires an individual who can lead and activate the full potential of their team while collaborating with internal and external stakeholders and effectively coordinating schedules, budgets, facilities, and Clubhouse operations. The role hires, supervises, coaches, and develops staff; addresses personnel matters in collaboration with HR; manages the facility; and builds strong relationships with program staff, families, community partners, donors, volunteers, and BGCWPA administration.

The Clubhouse Director will develop and implement strategies to increase and/or maintain daily attendance through membership recruitment, retention, family engagement, and increased visibility within the community. The Clubhouse Director will work closely with the Director of Quality , Assistant Director and/or Program Manager, and program teams to coordinate high-quality programming for preschool, afterschool/summer camp, teens, sports, and STEAM.

The position reports to the Area Director Team and works collaboratively with the Director of Quality and BGCWPA leadership team to advance organizational priorities at the Clubhouse.

Responsibilities

Culture and Community

  • Lead with integrity and uphold the values and expectations outlined in the BGCWPA DNA Code: Mission Alignment, Accountability, Attitude, Communication, and Belonging.
  • Model respectful, inclusive, and professional behavior at all times, cultivating a culture of trust, collaboration, and youth-centered excellence.
  • Ensure staff understand, embody, and are held accountable to the DNA Code through daily practice, coaching conversations, and reflective supervision.
  • Promote a positive work environment where staff feel supported, engaged, and aligned with the mission and culture of BGCWPA.
  • Partner with fellow Clubhouse Directors, the Director of Quality, and Area Managers to encourage cross-site collaboration and foster an organizational culture rooted in empathy, growth, quality, and shared success.

Leadership

  • Provide hands-on leadership to Clubhouse operations, ensuring programs, services, and staff align with BGCWPA's mission, culture, and organizational priorities.
  • Establish and maintain a comprehensive Clubhouse schedule that reflects seasonal needs, promotes positive youth development, and maximizes participation across age groups and program areas.
  • Partner with the Director of Quality and program leadership in the development, implementation, and continuous improvement of high-quality programming aligned with organizational standards, grant requirements, youth outcomes, and quality expectations.
  • Ensure consistent oversight and support of program operations and staff across departments, fostering a physically and emotionally safe environment for youth and a supportive, professional culture for staff.
  • Model effective communication, professionalism, and accountability in all interactions.
  • Facilitate weekly team meetings to strengthen communication, provide updates, address site-level challenges, review goals and performance, and ensure alignment across programming and operations.
  • Establish and uphold clear site procedures and protocols while partnering with the Director of Quality and appropriate organizational leaders to ensure adherence to licensing, safety, compliance, and quality standards.
  • Serve as the primary on-site operational decision-maker, utilizing data, staff input, organizational guidance, and real-time observations to support problem-solving, staffing adjustments, and program improvements.
  • Support and coach Youth Development Professionals and other frontline staff in effective behavior management strategies, youth engagement techniques, and instructional practices.
  • Lead by example as a culture carrier, fostering a positive, inclusive, mission-aligned environment that prioritizes excellence, belonging, accountability, and continuous growth.

Advancement

  • Serve as an ambassador for the organizational culture, ensuring the Club's mission, vision, and values are reflected throughout the Clubhouse.
  • Grow enrollment for programs, sports, and community activities through effective recruitment, retention, and outreach practices.
  • Build positive relationships between BGCWPA and the local school districts served by the Clubhouse through regular engagement with school and district leadership.
  • Attend relevant community and school meetings and participate in local councils, roundtables, committees, and other collaborative opportunities.
  • Support fundraising events and youth fundraisers and collaborate with the Advancement team on marketing materials, tours, and social media.
  • Establish and maintain purposeful, positive relationships with members, families, staff, community service providers, and community stakeholders.
  • Supervise volunteers and ensure BGCA standards regarding volunteers are implemented within the Clubhouse.
  • Partner with the Advancement team to support promotional materials, events, local fundraisers, and cultivation of individual and corporate donors.

Program & Operations

  • Ensure seasonal program schedules for fall, winter, spring, and summer are established in collaboration with Preschool, K-8 Afterschool/Summer Camp, Teens, Sports, STEAM, external partners, and the Director of Quality to optimize space, program delivery, and cross-promotion.
  • Oversee day-to-day Clubhouse operations and coordinate with programs and partners to ensure activities are appropriately staffed and supported.
  • Partner with the Director of Quality to ensure Clubhouse environments, programs, and services reflect organizational standards for high-quality youth development and produce positive outcomes.
  • Establish annual membership goals, including Registered Members, Total Youth Served, Community Outreach, Average Daily Participation (ADP), and member retention.
  • Address future program and stakeholder needs through creative problem-solving, informed decision-making, solution-focused leadership, and innovation.
  • Resolve conflicts, disputes, and concerns involving staff, Club members, volunteers, and/or parents, involving other organizational leaders as appropriate.
  • Ensure a safe, clean, organized, welcoming, and positive environment that promotes physical and emotional safety and a sense of belonging.
  • Provide regular performance feedback, counseling, mentoring, training, and coaching to Clubhouse staff, including required performance evaluations and goal-setting processes.
  • Coordinate with the Facilities Engineer to ensure facilities, equipment, and supplies are maintained and in appropriate working order.
  • Follow all BGCA regulations and applicable DHS requirements, including DHS 3270 regulations. The Clubhouse Director will work in partnership with the Director of Quality on licensing preparation, licensing visits, renewals, required documentation, corrective actions, and ongoing compliance expectations.
  • Work in partnership with the Director of Quality to maintain the Clubhouse's current STARS designation, including associated documentation, staff credentials and training records within the Pennsylvania Key portal, and day-to-day practices supporting STARS and BGCWPA quality expectations.
  • Work in partnership with the Director of Quality to maintain compliance with CACFP and SFSP Food Program policies and procedures and coordinate with the Greater Pittsburgh Community Food Bank and other applicable partners.
  • Participate with the Director of Quality in regular quality reviews, observations, action planning, and continuous-improvement efforts designed to strengthen the youth and family experience.
  • Implement agreed-upon quality-improvement strategies at the Clubhouse and support staff in meeting established program-quality expectations.

Management & Supervision

  • Lead a welcoming, family-friendly, and professional atmosphere throughout the Clubhouse.
  • Work alongside the Director of Operations, Regional Director of Clubhouse Excellence, and Director of Quality to establish annual and ongoing goals for enrollment, programming, partnerships, quality, and growth. The Clubhouse Director is responsible for leading the site team toward achievement of those goals.
  • Supervise the performance of assigned employees and volunteers, including annual review processes, and maintain a productive and positive work environment.
  • Manage budgets and expenses, maintain an understanding of locally generated revenue, and follow all BGCWPA finance policies and procedures.
  • Host weekly staff meetings and provide regular on-the-job coaching and staff development.
  • Lead family engagement and regular family communications.
  • Complete required administrative responsibilities.
  • Participate in BGCWPA strategic planning sessions and staff meetings.
  • Assist in establishing positive, cooperative relationships with public and private agencies serving the community.
  • Collaborate with the Training Coordinator, Compliance Director, and Director of Quality on staff training, development, quality, and compliance needs.
  • Manage and fulfill grant requirements and work with the Advancement team to collect site-level data related to grant deliverables.
  • Oversee the Member Management Database System and required data collection and reporting.
  • Establish and monitor asset-management procedures and inventory control for the Clubhouse.
  • Oversee and approve authorized financial transactions, including credit card usage, payroll approvals, and participant timecards, in accordance with organizational policies.
  • Ensure transportation protocols and guidelines are followed.
  • Initiate the Emergency Response Policy and conduct required safety inspections and fire drills.
  • Support recruitment and interviewing for new Clubhouse hires and actively support new-hire onboarding plans.
  • Maintain proficiency with current computer information systems and technology.
  • Maintain accurate weekly youth enrollment information.
  • Actively participate in organizational diversity, equity, inclusion, and belonging practices and opportunities.

Programming Growth & Community Partnerships

  • Work alongside organizational teams, including the Director of Quality, to drive innovation, consistency, and excellence across Clubhouse programs including Preschool, K-8, Summer, Teen, Sports, and STEAM.
  • Lead site-level implementation of programming that responds to community needs, leverages internal expertise, supports youth outcomes, and meets enrollment expectations.
  • Establish and sustain high-impact partnerships with local school districts, community organizations, cultural institutions, and businesses.
  • Oversee seasonal program scheduling in collaboration with program leads, the Director of Quality, and external partners.
  • Promote the visibility and relevance of the Clubhouse through community engagement, public speaking, and representation at local events and initiatives.
  • Collaborate with Advancement and Marketing teams on community fundraisers, grant opportunities, donor cultivation, and storytelling efforts.

Strategic Advancement & Fund Development

  • Serve as a representative of the Clubhouse in donor and funder engagement efforts and build relationships with individual, corporate, and philanthropic partners.
  • Partner with the Advancement team to support tours, proposal development, and impact reporting.
  • Identify and support opportunities to expand or sustain programming, staffing, and capital resources.

  • Ability to travel locally and work flexible hours, including evenings and weekends.
  • Willingness to perform additional duties and tasks assigned by leadership/supervisors.

Requirements

  • Bachelor's degree from an accredited college or university and/or 5+ years of leadership experience in nonprofit management, facility management, and/or youth programming.
  • Experience as a business manager or coordinator of a youth program or childcare facility, with demonstrated ability to supervise staff, manage budgets, and collaborate effectively with an administrative and leadership team.
  • The usual and customary methods of performing the job require physical demands including lifting and carrying up to 50 pounds, pushing and/or pulling, climbing steps, balancing, stooping, standing, sitting, kneeling, crawling, crouching, and significant fine-finger dexterity. Ability to tolerate environmental conditions including air conditioning, heat, dust, fumes, noise, and close quarters.

Certifications and Clearances

BGCWPA's highest priority is the safety of the youth we serve. CPR, Pediatric First Aid, Child Abuse Prevention, Criminal History, FBI Clearance, NSOR Certificate, PA Disclosure, PA Staff Health Assessment, TB Test, and Mandated Reporter certification are required upon hire.
