Part-Time Marketing & Admin Coordinator — Encore Music (South Pasadena / San Marino)

ABOUT THE ROLE
This part-time role averages about 20 hours a week and is mostly marketing and creative work, plus some admin and front desk coverage. Your weekday mornings happen before lessons start, and you'll spend them creating our ads, social posts, emails and in-studio graphics, and keeping key spreadsheets up to date. Every other Saturday, you'll cover the front desk at our San Marino location.

We're looking for someone creative, reliable and detail-oriented who meets deadlines, loves working with people (especially kids and families!), and is excited to grow with a local family business and a welcoming, supportive and fun admin team.

MARKETING RESPONSIBILITIES (Primary Focus)

• Create and manage marketing ads
• Plan, design and post Instagram and Facebook content
• Create posts for special events (recitals, workshops, seasonal promotions)
• Write and send our weekly email newsletters
• Design the monthly TV slides and Musical Ladder slides for our lobby displays
• Handle Canva projects, including flyers, room signs and in-studio signage
• Help plan and staff community booths and street fairs
• Create and promote student Practice Challenges
• Update our Google Business Profile

ADMIN & SPREADSHEET RESPONSIBILITIES

• Pull payroll data from Opus
• Prepare and update teacher payroll spreadsheets
• Prepare and send monthly invoices
• Cover the front desk every other Saturday: greet families, answer phones and emails, help with scheduling and enrollments
• Assist with other projects as assigned

SCHEDULE

• Monday, Wednesday, Thursday and Friday, 10am–2pm 
• Every other Saturday, 7:45am–4pm 
• Averages about 20 hours/week (16 hours one week, about 24 the next), with room to grow based on performance
• Saturday availability every other week is required

WHAT WE'RE LOOKING FOR

• Hands-on experience with Canva, Instagram, Facebook and Google Business Profile
• Strong writing skills. Email marketing experience is a big plus
• An eye for clean, on-brand design
• Comfort with spreadsheets (Google Sheets/Excel) and great attention to detail with numbers
• Self-starter who manages their own time and meets weekly deadlines without reminders
• Friendly, outgoing and comfortable representing us at community events
• Great follow-through and memory
• Event planning experience is a plus
• Loves kids and music!

BASIC REQUIREMENTS

• At least 1 year of experience in marketing, social media or a fast-paced office
• Reliable transportation
• Strong computer and typing skills
• Timely and reliable
• Available every other Saturday
• Willing to undergo a background check, in accordance with local laws/regulations

TRAINING PROVIDED
Our training program combines in-person sessions, online videos, interactive activities, handouts and "cheat sheets," and a welcome packet. Training takes about two weeks, and we coach and support you patiently the whole way through. We guarantee you'll never get more supportive, fun, creative or thorough training at any new job!

Encore Music is a growing independent music school in South Pasadena and San Marino with over 450 weekly private students. We're an energetic, innovative school with a friendly community of highly qualified instructors and admin staff. Our team handles marketing, enrollment, scheduling, billing, recitals, special projects and much more.
