IDOC is looking to hire an Office Coordinator Associate to perform technical office support functions for Record Offices statewide. In addition, this position will serve as Unit Secretary, organize and maintain control of statewide discharged master records, keyboard a variety of documents, and assist in maintaining mailboxes. Performs technical office support functions for Record Offices statewide under the direction of the Chief and Assistant Chief Record Officers. Serves as Unit Secretary, providing specialized office support for Record Offices statewide. Organizes and maintains control of statewide discharged master records within storage weighing up to 80 pounds. Keyboards technical correspondence, reports, and flow/statistical charts. Assists in maintaining Inmate Records Unit and Statement of Facts mailboxes. Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Requires knowledge, skill and mental development equivalent to two (2) years of secretarial/business college, OR completion of high school and two (2) years of related office experience, OR two (2) years of independent business experience. Requires ability to keyboard accurately 30 words per minute.
Preferred Qualifications:
- At least four (4) years of work experience performing clerical duties.
- At least four (4) years of work experience organizing files in alpha-numeric order.
- At least two (2) years of work experience using Microsoft Office Suite or similar software programs.
- At least one (1) year of work experience creating and maintaining a physical and/or digital filing system.
- At least one (1) year of work experience gathering and organizing data for auditing, projects, and/or reports.
- At least one (1) year of work experience providing customer service and/or support.
- At least one (1) year of work experience using standard office equipment such as printers, copiers, and/or fax machines.
Requires ability to pass the IDOC/IDJJ background check. Requires ability to pass a drug screen. The use of unauthorized drugs by an employee, regardless of position held, is prohibited. Required to utilize digital technology, tools, platforms, and processes in managing and supporting various digital enhancements for greater efficiency, productivity, and digital transformation efforts within the department. This position is considered heavy work as defined by the U.S. Department of Labor (20 CFR 404.1567(d)). Heavy work involves lifting no more than 100 pounds at a time with frequent lifting or carrying of objects weighing up to 50 pounds. Requires ability to travel in the performance of duties, with overnight stays as appropriate. Applicants are required to abide by all vaccine and/or other medical standards as set out by the employer.
