Job Summary: The Intake Coordinator is integral to the SERG Grant, delivering highly organized, compassionate, and customer-service-oriented support to our SERG Grant mental health services program. This position will serve as an important first point of contact for individuals and families seeking services and will help ensure clients have a smooth, welcoming experience from initial inquiry through ongoing appointments. The Intake Coordinator will be responsible for responding to walk-in and telephone inquiries, coordinating intake appointments, scheduling individual and group therapy sessions for clinicians, maintaining accurate program records, and supporting reporting requirements associated with the SERG Grant. This is an in-person position that will provide coverage at both the Eaton Fire recovery location and Palisades Hub, based on program needs. Essential Duties & Responsibilities: Intake & Client Support Serve as a welcoming and professional first point of contact for clients, families, community members, and referral partners. Respond to walk-in, telephone, and other inquiries regarding available mental health services. Gather appropriate information from individuals seeking services and coordinate the next steps in the intake process. Provide clear information regarding available services, appointment options, program expectations, and location details. Assist clients with navigating the intake and scheduling process in a compassionate and culturally responsive manner. Maintain professionalism and confidentiality when handling sensitive client information. Scheduling & Coordination Coordinate and maintain schedules for individual therapy appointments. Schedule and coordinate group therapy sessions based on clinician availability, program requirements, and client needs. Coordinate changes, cancellations, and rescheduling while minimizing gaps in clinician schedules. Communicate appointment information and changes to clients and clinical staff. Monitor schedules to identify conflicts, gaps, or other operational issues. Support clinicians with administrative coordination related to their caseloads and scheduled services. Assist with coordination between the Eaton Fire location and Palisades Hub. Administrative & Reporting Support Maintain accurate and organized records related to client inquiries, intakes, appointments, attendance, and program activity. Create and maintain Google Sheets, Google Docs, and other Google Workspace documents used for program tracking and reporting. Enter, update, and reconcile data to support SERG Grant reporting requirements. Prepare routine reports, tracking documents, and summaries for leadership and program staff. Ensure documentation is timely, accurate, and organized. Assist with other administrative projects and program needs as assigned. Community & Program Support Provide a positive and welcoming experience for individuals accessing services. Support outreach and community-facing activities as needed. Work collaboratively with clinicians, program leadership, administrative staff, and community partners. Maintain flexibility to work at either program location based on operational needs. Demonstrate cultural sensitivity and understanding when working with individuals and communities impacted by the Eaton and Palisades fires. Qualifications Minimum Qualifications & Requirements: High school diploma or equivalent; associate degree or higher preferred. 2+ years of experience in customer service, healthcare administration, behavioral health, social services, scheduling, intake, or a related field. Experience coordinating appointments and/or schedules for multiple providers or service professionals. Strong customer service and interpersonal communication skills. Excellent organizational skills and attention to detail. Ability to manage multiple priorities in a fast-paced environment. Strong verbal and written communication skills. Proficiency with Google Workspace, including: Google Sheets Google Docs Google Drive Google Calendar Gmail Ability to create and maintain spreadsheets and documents used for tracking, reporting, and program operations. Ability to maintain confidentiality and handle sensitive information appropriately. Ability to work in person at both program locations. Preferred Qualifications: Spanish/English bilingual proficiency strongly preferred. Experience working in behavioral health, mental health, healthcare, nonprofit, or community-based services. Experience with intake coordination or behavioral health scheduling. Experience working with grant-funded programs or government-funded services. Familiarity with trauma-informed care and working with individuals impacted by disasters or displacement. Experience coordinating both individual and group therapy services. Physical & Work Requirements This is an in-person position with regular work at both the Eaton Fire recovery location and Palisades Hub. Ability to travel between the two assigned program locations as needed. Ability to sit and work at a computer for extended periods. Ability to interact professionally with clients and community members in a busy service environment. Regulatory & Compliance Expectations: Maitain compliance with all state and federal regulations, including DHCS, DSS, and Joint Commission standards. Follow company policies on safety, confidentiality, and ethical conduct. Participate in audits, training, and continuous quality improvement efforts.
