Information Management Lead

The Lead, Information Management & Document Control is responsible for leading the development, implementation, and governance of information management, document control, and records management processes across Engineering, Operations, Maintenance, and Reliability functions. This role ensures the integrity, accuracy, accessibility, and compliance of technical documentation throughout the asset lifecycle while supporting Management of Change (MOC), Operational Technology (OT), capital projects, maintenance programs, and engineering activities. The position serves as the primary liaison between Engineering, Operations, Maintenance, Projects, and Technical Services to ensure that critical asset information, engineering drawings, procedures, and technical records are properly controlled, maintained, and available for safe and reliable operations. Location/Travel Information This position is based at the Quintana LQF Terminal with frequent travel to off-site locations as required. This position requires the incumbent to hold a valid, unexpired driver license at all times in order to perform the essential functions of the job. Duties/Responsibilities Lead the Document Control team at all site locations. Help develop and maintain document control procedures, and data quality requirements that pertain to operations. Maintain document lifecycle management processes from creation through archiving and retention. Drive continuous improvement initiatives related to engineering information management systems and workflows. Ensure compliance with corporate, regulatory, industry, and quality management requirements. Document Control Management Oversee control and maintenance of: Engineering drawings (P&IDs, PFDs, electrical, instrumentation, mechanical, civil, and structural drawings) Technical specifications Operating procedures Maintenance procedures Asset records Ensure document revisions are properly reviewed, approved, distributed, and archived. Maintain document metadata, numbering systems, and version control processes. Manage electronic document management systems (EDMS) and engineering information repositories. Management of Change (MOC) Lead document control support for the Management of Change process. Ensure engineering documentation updates are completed accurately and in a timely manner following approved MOCs. Verify affected drawings, procedures, asset records, and technical documents are updated prior to MOC closure. Partner with Engineering, Operations, and Maintenance teams to identify documentation impacts associated with facility changes. Participate in MOC reviews, audits, and compliance assessments. Support engineering teams with information management requirements for capital projects and brownfield modifications. Ensure engineering deliverables are received, reviewed, and incorporated into company systems. Coordinate document turnover from projects into operations. Maintain master engineering records and ensure as-built documentation accuracy. Support engineering data management initiatives and digital transformation projects. Operations & Maintenance Support Collaborate with Operations and Maintenance teams to ensure critical operating and maintenance documentation remains current and accessible. Support asset integrity, reliability, and maintenance programs through accurate technical records management. Facilitate updates to operating procedures and maintenance documentation resulting from operational changes. Ensure technical information supports safe, efficient, and reliable plant operations. Compliance & Auditing Ensure compliance with regulatory and industry standards related to records management and document control. Support internal and external audits. Help develop KPIs and reporting metrics for document control and information management performance. Conduct periodic quality reviews and document control audits. Essential Functions Minimum Education Required: High School Diploma or equivalent Minimum Experience Required: 8 years of Information Management and Records and EDMS systems in a corporate setting Preferred Education: Associates Degree in Business or related discipline Preferred Experience: 8 years’ experience in the area of Information Management or quality assurance in regulated industry. Actively participate in the HSE Management System Policies. Ensure that HSE concerns are given priority in all activities completed within their area of responsibility. Implement routine inspections to ensure safe operating conditions. Working Conditions and Physical Expectations This position operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers/fax, filing cabinets, etc. Physical Demands The physical demands described here are representative of those that must be met by an incumbent to successfully perform the essential functions of this job. This is primarily a sedentary role; however, the incumbent must be able to stand and/or sit continuously to perform all essential job functions for a full shift. Ability to lift up to 20 lbs. as required in order to lift files, boxes and office equipment as necessary. Ability to lift files, open filing cabinets and bending, standing on a stool, or climbing as necessary to perform these functions. While performing the duties of this role, the incumbent may be required to talk or hear. The incumbent is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.
