Program Support Assistant (OA)

Summary The Program Support Assistant provides comprehensive administrative support to the Chief of Environmental Management Service (EMS) within the Central Texas Veterans Health Care System (CTVHCS). Responsibilities Major Duties include, but not limited to: Prepares annual budget estimates. Prepares, receives, analyzes, and records purchase requests. Submits funding requests as required. Performs monthly/quarterly reconciliation of all accounts to ensure accounting data and purchase orders balance. Advises and informs EMS Chief of any irregularities in purchase orders. Creates files and maintains contract records. Coordinates, compiles, and prepares reports. Develops and maintains a thorough quality management program Serves as a consultant to the Chief and Assistant Chief of EMS concerning implementing and maintaining a waste program. Serves as Assistant Information Security Office for the service. Attends meetings as directed. Provides education/training that addresses automated information systems security issues. Reviews both incoming and outgoing correspondences. Maintains EMS Chief's calendar, scheduling appointments, and managing suspenses. Participates in section meetings. Submits travel requests, assists with scheduling trips, making reservations, and filing subsequent expense reports. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: conducting audits in accordance with directives and compliance guidelines; validating data for accuracy; compile data into charts/graphs for review; create correspondence, audits, reports and graphs utilizing a variety of computer program; identify discrepancies and errors during audits; provide/submit requested information to ensure all due dates are met in a timely and satisfactory manner; perform data entry, collection, validation from varies sources to create data; experience with clerical and administrative procedures; use initiative to follow-up on action items and time-sensitive issues with appropriate staff members. Required: Driver's License - Must possess a valid, state driver's license. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week.
