Transportation Coordinator
Lead and manage the district's transportation program to provide safe, reliable, efficient, and customer-focused transportation services. Provide leadership for personnel management, regulatory compliance, school and community partnerships, fleet management, and long-term departmental planning.
Education/Certification: Bachelor's degree preferred Clear and valid Texas commercial driver's license with Passenger (P) and School Bus (S) endorsements
Special Knowledge/Skills: Ability to direct and manage operations of a large fleet of vehicles Ability to pass U.S. Department of Transportation alcohol and drug tests and annual physical exam Knowledge of school transportation operations, fleet management, safety, and regulatory requirements Ability to manage budget and personnel Ability to implement policy and procedures Ability to interpret data Ability to use technology to plan, operate, monitor, and evaluate transportation operations Strong organizational, communication, and interpersonal skills Ability to develop personnel, build effective teams, and establish systems of accountability
Experience: 5 years of experience in student transportation, fleet operations, logistics, or a related field 3 years of supervisory or leadership experience School transportation experience preferred
Transportation Operations and Fleet Management: Direct and oversee the delivery of transportation services to ensure students are transported safely, reliably, and efficiently. Oversee the district's student transportation routing program and evaluate routes, schedules, service levels, and transportation needs to support efficient operations and long-term planning. Establish effective communication and service expectations with campuses, families, staff, and district leadership regarding transportation services and significant operational changes. Oversee transportation services for extracurricular activities, field trips, and special programs and ensure procedures support safe, efficient, and reliable service. Oversee the inspection, maintenance, and repair program for district-owned transportation vehicles to ensure fleet safety, reliability, regulatory compliance, and operational readiness.
Policy, Reports, and Laws: Ensure transportation operations comply with applicable federal and state laws, State Board of Education rules, board policies, and district procedures. Oversee the preparation, accuracy, and timely submission of required transportation reports, records, certifications, and documentation, including state and TEA transportation reporting, route and operational service data, collision reporting, driver qualifications, safety certifications, and drug and alcohol testing requirements. Review and approve transportation personnel timekeeping and payroll documentation and ensure accurate and timely submission in accordance with district procedures.
Budget and Inventory: Develop, administer, and monitor the transportation department budget based on documented needs, operational priorities, and long-term goals; ensure resources are used effectively and funds are managed in accordance with district procedures. Oversee departmental purchasing, inventory, and expenditures to ensure operational needs are met within budgetary limitations and district purchasing procedures. Develop and maintain a long-term fleet replacement plan; evaluate vehicle condition, utilization, operational needs, and regulatory requirements and make recommendations for the purchase, replacement, or disposal of district vehicles and transportation equipment.
Student Management and School Partnerships: Oversee the implementation of student conduct and safety expectations for district transportation and ensure consistent application of district policies and procedures related to student behavior and riding privileges. Address and resolve escalated student, parent, and campus transportation concerns in collaboration with school administrators and district leadership, as appropriate. Build and maintain collaborative relationships with campus administrators and district departments to identify transportation needs, address service concerns, and support student success.
Personnel: Select, supervise, develop, and evaluate transportation staff and make recommendations regarding assignment, retention, discipline, and dismissal in accordance with district policies and procedures. Develop the capacity of transportation staff through coaching, mentoring, feedback, professional development, and opportunities for increased leadership and responsibility. Assess staffing needs and lead recruitment, onboarding, retention, and succession planning efforts to maintain a qualified and reliable transportation workforce. Establish clear performance expectations, procedures, and accountability systems for transportation staff and ensure consistent implementation across the department.
Safety: Develop, implement, and monitor transportation safety programs and procedures to ensure compliance with federal, state, district, and insurance requirements and promote a culture of safety throughout the department. Assess road conditions, weather, and other transportation hazards and advise district administration regarding conditions that may impact safe transportation operations, including delayed starts or school closures. Oversee the investigation and documentation of transportation accidents, incidents, safety violations, and other significant safety concerns and ensure appropriate corrective action and follow-up. Establish and oversee required safety and driver training programs and ensure transportation staff receive appropriate initial, recurring, and remedial training.
Other: Participate in the development and implementation of district emergency and disaster response plans and provide transportation leadership and support during emergencies as needed. Represent the transportation department at district meetings, trainings, conferences, and other functions and provide reports or presentations regarding transportation operations, initiatives, and needs as appropriate. Operate a school bus as needed to support transportation operations. Monitor transportation performance, service levels, staffing, fleet utilization, and other operational data to identify trends, evaluate effectiveness, and implement continuous improvement strategies.
Supervise, evaluate, and provide leadership and development for transportation department personnel, including the dispatcher, lead bus drivers, bus drivers, bus monitors, and other assigned transportation staff. Make recommendations regarding hiring, assignment, retention, discipline, and dismissal in accordance with district policies and procedures.

To meet the executive exemption test, the primary duty must be management and the employee must supervise at least two full-time employees.
