Business Operations Manager

TBA US is our growing North American operation, delivering the full breadth of the Group’s capabilities to clients across the region. Our three lines of business: Sport Ourexpertiseacross sports and motorsport includes working with some of the world’s largest organizations and rights holders to consult on and deliver premium hospitality, guest management programs, sponsorship activations, racing, fan zones, touring kits, and opening ceremonies. Our Brands team works closely with leading global brands to deliver both B2B and B2C experiences including conferences, product launches, award ceremonies, exhibitions, and parties. Entertainment Our entertainment arm brings the best global talent and spectacular large-scale production values into the corporate world. Our team has conquered some of the most technically challenging briefs to produce spectacular live shows and touring music concerts. ROLE OVERVIEW This is an exciting opportunity to join TBA US at a pivotal stage of our North American growth. TheManager, Business Operationswill be the operational backbone of the US office - ensuring the team runs smoothly, clients are managed professionally, and business processes are efficient and well-maintained. This person will work across all three business pillars (Sport, Brands, and Entertainment) and act as a critical link between our US team and the wider TBA Group. KEY RESPONSIBILITIES Office &BusinessOperations Oversee the day-to-day running of the TBA US office, ensuring a productive and well-organized working environment. Establish,maintain, and improve administrative systems, processes, and procedures across the business. Manage office supplies, equipment, vendor relationships, and officelogistics. Liaise with IT, HR, andfinance support functionswiththe wider TBA Group on behalf of the US office. Coordinate onboarding for new team members, including equipment setup, systems access, workspacepreparation, and office induction. Budget & Financial Administration Support the day-to-day financial administration of the business, acting as a key liaison between project teams, suppliers, freelancers, and the Group Finance team to ensure financial processes and records are accuratelymaintained. Learn and manage the company's financial systems and processes, includingProcim. Raise purchase orders, onboard suppliers, and provide generalProcimsupport to internal teams. Support project teams in tracking and reconcilingsupplier,freelancer, and vendor costs across active projects, ensuring expenditure is accurately recorded and aligned with approved budgets. Maintain oversight of outstanding supplier and freelancer invoices, working with project teams and the Group Finance team to ensure payments are processedin a timely manner. Act as a key point of contact for suppliers and freelancersregardingpayment queries, escalating issues whererequiredand helping tofacilitateprompt resolution. Support month-end and project reconciliation processes by gathering documentation, tracking expenditure, and ensuring financial information is complete and up to date. Liaise with the Group Finance team in the UK to ensure alignment on financial processes, reporting requirements, and compliance standards. Project & Event Support Provide administrative and logistical support across live events and brand activations, including travel booking, supplier coordination, and itinerary management. Coordinate thelogisticsof internal and client meetings, including scheduling, room bookings, AVsetupand document preparation. Support the team with research, supplier sourcing, and venue or vendor procurement as required by project briefs. Help manage post-event administration includingpost-event reporting, expense reconciliation, and file archiving. Team& Administrative Support Provide proactive day-to-day support to the US leadership team and wider project teams, helping to ensure priorities, deadlines, and administrative requirements are effectively managed. Manage internal communications, meeting schedules, shared calendars, and team coordination activities. Draft and proofread internal and external correspondence, reports, presentations, and business documentation to a consistently high standard. Support onprojects, travellogistics, and cross-team communications. Maintainaccurateand organized records across company documentation, supplier agreements, contracts, and administrative files. Support the organization of team events, away days, and internal company functions. ESSENTIAL SKILLS & QUALIFICATIONS Experience & Education A bachelor's degree in a relevant field from an accredited college or university. Minimum3+ years' experience in a similar agency landscape (sports, brands, and/or entertainment industry preferred). Previousexposure to client-facing environments and professional communications. Must be able to multi-task and self-manage to meet deadlines and handle multiple priorities. Must be flexible and comfortable assuming multiple roles as needed by the team. Proficient in Microsoft Suite, particularly Word, PowerPoint, and Excel. Experience with project management tools (e.g.Monday.com, Asana, or similar) is highly desirable. Familiarity with financial/accounting software (e.g.Procim,Xeroetc.) is an advantage. Possess exceptional written and oral communication skills. Strong attention to detail and highly organized. Strong written communication skills with the ability to prepare professional documents, reports, and presentations.
