Job Summary

We are seeking a detail-oriented, friendly Customer Service Representative to join our HVAC team. This role is the first point of contact for customers and plays a key part in scheduling, invoicing, payment processing, and daily office operations using Housecall Pro. Part-Time available during spring and fall.

Responsibilities

• Answer incoming calls and respond to customer inquiries professionally and promptly
• Schedule and dispatch service calls, installations, and maintenance appointments using Housecall Pro
• Create, send, and manage customer invoices through Housecall Pro
• Collect and post customer payments accurately
• Sell HVAC parts and accessories to customers, providing basic product knowledge and pricing
• Follow up with customers regarding estimates, appointments, and outstanding invoices
• Maintain accurate customer records and job notes in Housecall Pro
• Coordinate with technicians to confirm schedules and relay customer information
• Perform general office duties, including filing, organizing paperwork, and maintaining a clean and orderly office environment
• Assist with ordering office/parts supplies as needed
• Support other administrative tasks as assigned

Qualifications

• Previous customer service or office administration experience required
• Experience with Housecall Pro or similar field service management software preferred
• Strong phone etiquette and communication skills
• Basic math skills for handling payments and invoicing
• Ability to multitask in a fast-paced environment
• Proficient with computers and general office software (email, etc)
• Reliable, organized, and detail-oriented
• HVAC industry knowledge a plus but not required

Work Environment

• Office-based position with regular phone and computer use
• May require light lifting/organizing for office and parts inventory
