Executive Recruiting Coordinator (Contract)

Location: San Francisco, CA (Hybrid – 3 days/week onsite minimum)
Duration: 6-month contract with potential to extend
Pay Rate: $57.50/hour

About the Role

We're looking for an experienced Recruiting Coordinator to join a fast-growing talent acquisition team supporting high-volume hiring across technical and business organizations. In this role, you'll be the operational backbone of the recruiting process, partnering with recruiters, hiring managers, executive assistants, and candidates to deliver a seamless interview experience.

What You'll Do

• Own end-to-end interview scheduling across multiple hiring teams, making up the majority of your day-to-day responsibilities.
• Coordinate high-volume interview scheduling across technical and non-technical hiring pipelines.
• Manage complex scheduling for executive and specialized hiring processes.
• Partner closely with recruiters, hiring managers, executive assistants, and business stakeholders to coordinate interviews efficiently.
• Communicate professionally with candidates throughout the interview process to ensure an outstanding candidate experience.
• Resolve scheduling conflicts, last-minute changes, and other logistical challenges with urgency and professionalism.
• Support both virtual and occasional onsite interviews.
• Maintain accurate interview schedules, documentation, and candidate records within recruiting systems.
• Help create a polished, welcoming experience for every candidate.

What We're Looking For

• Previous experience working specifically as a Recruiting Coordinator.
• Proven experience managing high-volume interview scheduling in a fast-paced environment.
• Exceptional organizational skills with the ability to manage multiple priorities simultaneously.
• Strong written and verbal communication skills.
• Comfortable navigating changing priorities and solving problems under tight timelines.
• Experience collaborating cross-functionally with recruiters, hiring managers, executive assistants, and business leaders.
• Experience working extensively in Slack within an enterprise environment.
• Ability to work independently and manage scheduling with minimal oversight.

Please note: Experience solely as a Recruiter or Sourcer is not sufficient for this position. Candidates must have direct Recruiting Coordination experience.

Preferred Qualifications

• Experience supporting executive-level recruiting.
• Background supporting Engineering, Product, Research, GTM, or other technical hiring organizations.
• Experience in both large technology companies and startup environments.
• Familiarity with applicant tracking systems such as Ashby or similar recruiting platforms.
• Experience coordinating hybrid and onsite interview processes.
