Administrative Assistant
General Description

We are seeking a detail-oriented and self-motivated Administrative Assistant to support daily office operations at a union district office located in Rancho Cucamonga. This role serves as the primary point of contact for the location and operates with a high degree of independence. The Administrative Assistant will provide essential support to union members, business representatives, and leadership while ensuring efficient and accurate administrative operations.

This position is well-suited for an individual who values stability and is seeking long-term professional growth. Opportunities for advancement may be available over time.

Key Responsibilities
  • Independently manage day-to-day office operations with minimal supervision
  • Serve as the primary office contact by handling phone calls, emails, mail, office supplies, and package deliveries
  • Assist union members with applications, dues processing, onboarding, and general inquiries
  • Perform accurate data entry and maintain organized records, reports, and documentation
  • Prepare and manage weekly and monthly reports using Microsoft Excel
  • Reconcile accounting and reporting data and manage petty cash
  • Coordinate Zoom meetings and support basic technology needs (e.g., browsers, docking stations, shared drives)
  • Maintain a clean, organized, and professional office environment, including common and kitchen areas
  • Support annual and semi-annual projects, including dues calculations and organizational communications
  • Assist with travel planning for conferences held approximately every four years
Preferred Skills and Experience
  • Strong multitasking, organizational, and time management skills
  • Excellent verbal and written communication skills with a professional demeanor
  • Ability to interact confidently with executive-level professionals
  • Advanced proficiency in Microsoft Office Suite and general technical aptitude
  • Comfortable working independently for extended periods; highly self-sufficient
  • Experience with payroll systems (e.g., ADP) preferred but not required
  • Paralegal experience or legal knowledge is a plus
  • Familiarity with shared drives and basic troubleshooting of office technology
Work Environment
  • Casual yet professional office setting (jeans acceptable with a neat presentation)
  • Older office infrastructure; must be comfortable working in a non-modern office environment
  • Friendly, collaborative team with long employee tenure
  • Hands-on training provided, including in-person guidance and tutorials
Benefits Upon Conversion (Temp-to-Hire)

Schedule:

Monday - Friday (8:00AM - 5:00PM)_

Pay Rate

$25.00 - $25.00 Per Hour Based on Experience
