Business Services CoordinatorThe Business Services Coordinator supports the financial and operational functions of the Intermediate Unit by coordinating and assisting with business services, financial management, procurement, and compliance tasks. This role plays a key part in ensuring the effective and efficient use of resources in alignment with IU goals, policies, and state/federal regulations. This exempt position provides support to the Director of Management Services, Executive Director other IU Business Office staff.Essential Duties and ResponsibilitiesAssist in budget development, monitoring, and reporting for IU programs and services. Assist in preparing E-Grants applications.Manage contract and service agreement documents and coordinate updates to these documents when necessary.Provide support and data conversion assistance as needed.Provide contracted consulting services in member school districts and for other clients as needs arise.Assist the Director of Management Services and Executive Director with special projects that require additional support.May assist in day-to-day business operations, including accounts payable, accounts receivable, purchasing, and payroll processing.Prepare financial reports, statements, and documentation for internal use, audits, and external stakeholders.Ensure compliance with all relevant laws, regulations, and IU policies, particularly related to financial transactions and record-keeping.Support procurement processes including bid preparation and contract administration.Maintain accurate financial records.Collaborate with Division Director's and Supervisors to provide financial information, training, and support as needed.Coordinate audit preparation and assist auditors with necessary documentation and inquiries.Assist with grant management, including budget tracking, financial reporting, and adherence to grant guidelines.Provide supervision or support as assigned for both internal and external services offered.Acts as a client support specialist to those the IU serves.Perform other related duties and responsibilities as assigned by the Director of Management Services or Executive Director.Supervisory ResponsibilitiesWorks under the direction of the Director of Management Services to coordinate and oversee business and other client support services both inside and outside the IU. Provides supervision to support staff within the Division of Management services as assigned. May provide oversight of School District Business Office staff if providing contracted consulting services.QualificationsTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Previous experience with school business and accounting functions, including financial accounting software. Experience and/or knowledge of financial reporting requirements for public school systems/LEA's in Pennsylvania.Language SkillsAbility to read and interpret documents such as general business periodicals, professional journals, operating and maintenance instructions, and procedural manuals. Ability to write reports, procedural manuals, and business correspondence. Ability to speak effectively before administrators, employees of schools or other organizations.Mathematical SkillsAbility to work with mathematical concepts such as probability and statistical inference, and analyze data to solve problems. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.Reasoning AbilityAbility to define and solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to analyze, organize, and prioritize competing demands, projects, and tasks.Other Skills or AbilitiesAbility to apply current knowledge in the fields of accounting and school business including budgeting, accounting principles (GAAP) and fund accounting. The ability to maintain effective working relationships with staff and customers. Ability to speak clearly and concisely in both oral and written communication. Strong and effective communicational and interpersonal skills. Working knowledge of Microsoft Office product suite with a proficiency using excel.
