Program Manager Of Academic And Personal Development
The Office of Graduate and Postdoctoral Studies (OGPS) within the Medical School is looking to hire a Program Manager of Academic and Personal Development. This position promotes student learning and development by managing and facilitating professional development activities focused on academic and personal development within the Medical School. The Program Manager reports to the Associate Director of Professional Development and Trainee Support.
OGPS provides comprehensive support services to over 1,700 doctoral, master's, and post-baccalaureate students, as well as postdoctoral fellows and the more than 500 faculty members who train learners and trainees within the medical school. Professional development for our trainees has emerged as one of the most valuable components of higher education. The impact of career success depends mainly on a trainee's ability to adapt and prepare for a dynamic workforce. The Program Manager of Academic and Personal Development plays a critical role in coordinating and implementing thoughtful, creative, and engaging programming, ensuring that our trainees acquire the necessary knowledge, skills, and dispositions to achieve success.
The duties and responsibilities for this position can be categorized into five main domains, applying specialized knowledge in career and professional development.
- Developing and managing weekly programs and facilitating workshops.
- Managing and facilitating workshop requests across the Medical School and campus.
- Advising, coaching, and mentoring biomedical graduate students and postdoctoral fellows as it relates to professional development and scholarly activities.
- Managing special projects and initiatives.
- Completing general administration tasks and budget management.

Responsibilities*
20% Weekly Programming
- Strategically develop program priorities, comprehensive plans, and communication plans.
- Develop, manage, and facilitate workshops using domain-specific knowledge and expertise on academic and personal professional development.
- Establish overall event needs and partner with the OGPS Event Coordinator to coordinate event logistics.
- Establish overall communication needs and plans, and partner with the Communication Specialist to coordinate communication and marketing strategies.
20% Programming Collaboration and Outreach
- Collaborates with offices and groups across campus to provide workshops on personal and cultural competencies using domain-specific expertise.
- Establish relationships with Medical School departments and programs to raise awareness of programming for special workshop requests and collaboration opportunities.
- Develops, manages, and facilitates topical workshops and sessions requested by Medical School departments and programs. Tailors content as needed based on each request.
- Partners with the OGPS Event Coordinator to coordinate logistics for events and activities.
20% Career Advising, Coaching, and Planning
- Responsible for applying expertise and knowledge on CPD topics during advising sessions for postdocs and graduate students on various academic/scholarly, professional, and career-related needs.
- Provide critical and constructive feedback on job application materials, including CVs, resumes, and cover letters, particularly for academic faculty track positions.
- Develop and implement learning opportunities for trainees to practice career conversations and/or mock interviews in preparation for a job interview, particularly in an academic setting.
- Refer trainees to relevant university offices and resources.
- Refine and improve the advising offerings and workflows.
20% Special Projects
- Responsible for the overall management, performance, and completion of ad hoc special projects related to the team's work.
- Apply expertise and knowledge to develop new projects based on trainee needs and OGPS priorities.
- Collaborate with various team members on projects.
- Achieve professional development opportunities.
- Serve on staff committees.
20% General Administration
- Serve as a point of contact for related programs.
- Responsible for communications and correspondence with potential students/learners, current students/learners, faculty, and alumni.
- Partner with the Communication Specialist to review and update program-related content on the website and marketing materials.
- Monitor budget
- Complete ad hoc administrative tasks.
- Attend staff, team, and project meetings.
- Perform additional duties and responsibilities as assigned related to career and professional development activities.
Required Qualifications*
- One of the following:
- Master's degree and at least three (3) years of equivalent full-time work experience
- Bachelor's degree and at least five (5) years of equivalent full-time work experience
- Associate's Degree and at least seven (7) years of equivalent full-time work experience
- 2+ years of full-time experience in postdoctoral and academic affairs, services, and administration
- 2+ years of full-time experience managing projects or event planning

- Knowledge of academic faculty and research-related career tracks

Modes of Work
Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes.
This position has a hybrid schedule. This position operates on a hybrid schedule, with at least 2 days a week spent in the office. The position is expected to be in the office during in-person events.
Work Schedule
This is a full-time position.
The anticipated work schedule is Monday through Friday, ~8:00 AM - 5:00 PM.
