Office Manager – Private Medical Practice

Join a highly regarded private medical practice dedicated to exceptional patient care and a concierge approach to patient experience.

We are seeking an experienced Practice Manager to lead the daily operations of our established upper east side specialty practice. Our practice is largely out-of-network and values personalized, attentive, high-quality medical care. We also perform procedures at a freestanding ambulatory surgery center.

This is a hands-on leadership position for a highly motivated professional who understands the operational, financial, and human aspects of running a successful private medical practice. The ideal candidate will set a positive tone for the office, lead with kindness and integrity, and create an environment in which both patients and staff feel respected and supported.

Please note: Only candidates with prior medical office management experience and direct experience with out-of-network billing and reimbursement will be considered.

Responsibilities

• Oversee all day-to-day practice operations and supervise administrative staff.
• Lead, mentor, and develop an efficient and cohesive staff while fostering a positive office culture grounded in kindness, professionalism, accountability, teamwork, and exceptional service.
• Ensure a seamless, concierge-level patient experience from the initial point of contact through follow-up care.
• Manage physician schedules, office workflow, staffing, and operational efficiency.
• Oversee all aspects of in-network and out-of-network insurance reimbursement , including claims submission, appeals, patient reimbursement support, collections, and revenue-cycle optimization.
• Monitor practice performance metrics, collections, and financial operations.
• Develop, implement, and continually improve office policies, procedures, and workflows.
• Coordinate practice operations with our ambulatory surgery center.
• Partner closely with the physician-owner to identify opportunities for growth, innovation, and operational excellence.
• Ensure compliance with HIPAA and all applicable healthcare regulations.
• Remain willing to step in and handle front-office and administrative responsibilities as needed. This is a hands-on role, and the Office Manager must be comfortable supporting the team wherever necessary to keep the practice running smoothly.

Required Qualifications

• A minimum of five years of medical office management experience.
• Experience managing an in-network and out-of-network private medical practice, including insurance reimbursement and appeals.
• Proven leadership ability, including experience motivating, mentoring, supporting, and holding staff accountable.
• Strong knowledge of medical billing, revenue-cycle management, insurance reimbursement, collections, and practice financial operations.
• Exceptional organizational, communication, interpersonal, and problem-solving skills.
• A consistently positive and mature attitude and a leadership style grounded in kindness, professionalism, fairness, and respect.
• Strong computer proficiency. Our practice is fully electronic and technology-driven, and candidates must be comfortable learning and utilizing new software platforms.
• Demonstrated initiative, sound judgment, and the ability to work independently.
• A proactive mindset and the ability to identify opportunities, solve problems, and continually improve the practice rather than simply maintain existing processes.
• A team-oriented, hands-on approach and a willingness to assist with administrative responsibilities whenever needed.

Preferred Qualifications

• Experience in a concierge/ boutique private medical practice.
• Experience working with freestanding ambulatory surgery centers.
• Interest in or experience using artificial intelligence and workflow automation to improve communication, scheduling, documentation, practice operations, and efficiency.
