Lee's Summit 400 NW Murray Rd Lee's Summit, MO 64081, USA 8a-4:30p (occasional need for early arrival or late departure) JOB SUMMARY Provides administrative support for the HR department and the administrative center. Conducts orientation tours and/or presents information to new hires. Handles multiple tasks simultaneously. Responsible for task as assigned. Supportive of the Village’s mission, values, and service/hospitality (P.R.I.D.E.) expectations. Completes training as required by policy. ESSENTIAL JOB FUNCTIONS Coordinates and compiles employment file of new hires and tracks conditional status. Assists with new hire paperwork. Provide support for HR reporting and other functions including, but not limited to, filing, researching, querying, and compiling information, verifying information, and other tasks as assigned. Inputs new hire data into the database. Photographs and creates associate ID badges for new hires and replacement badges as requested. Assists in maintaining active and separated associate files, including I-9 filing. Conducts orientation tour. Coordinate orientation catering arrangements and tour transportation. Co-facilitates orientation and modules as assigned. Sets up and/or adjusts direct deposits/Global Cash Card. May assist with onboarding tasks. Answers incoming calls and provides information/assistance via phone or in person to associates, visitors, clients/vendors, residents, and their families. Resets system passwords and assists with RELIAS Learning issues to determine exact nature of technical problem and implements remedial procedure. Coordinates RELIAS Learning (Logistics: training setup/scheduling/enrollments/reports/record maintenance). Will distribute and track reminder emails to associates and leaders related to health, wellness and performance management. May assist associates with use of MyJKV, as needed. Provides administrative support to the Human Resources department as needed. May create and distribute correspondence to associates. Adheres to all safety regulations and requirements. Handles stress well and gets along with others within the workplace and with customers outside the department. Maintains acceptable standards of workplace conduct. The responsibilities described above represent the primary responsibilities of the job. Other responsibilities may be assigned as warranted by business needs. The incumbent is expected to perform all assigned responsibilities. ESSENTIAL QUALIFICATIONS Education High school education or general education degree (GED) required. Associates degree in business related coursework is preferred. Licenses/Certifications No specific licenses or certifications required. Knowledge and Skills (required unless otherwise noted) One to two (1-2) years administrative support experience in a Human Resources environment required. UKG system experience preferred. Intermediate, working knowledge of MS Windows and MS Office – Word, Excel, and Outlook. Ability to write sentences, paragraphs, and correspondence proficiently. Ability to apply common sense understanding to carry out detailed but straight-forward written or oral instructions. Excellent communication, active listening, problem-solving and interpersonal skills. Ability to act with integrity, professionalism, confidentiality, and empathy. SPECIAL WORKING CONDITIONS All associates may be called upon to assist other departments in a declared emergency situation. Physical and Mental Demands The physical demands described below are representative of those that must be met by an individual to successfully perform the essential functions of this job. The associate should be able to communicate effectively through spoken and written word. May need to stoop/bend, knee, crawl, and reach. Frequent sitting. Walking: Moving about on foot to accomplish tasks, particularly for long distances or moving from one work site to another. Must be able to speak and hear.
