About the Opportunity:

Our client is seeking an organized, proactive, and detail-oriented  Administrative & Project Support Coordinator to support its growing operations serving the public safety industry.

In this role, you'll help coordinate projects, support customer relationships, manage administrative processes, assist with quoting and purchasing, organize inventory, and keep projects moving from start to finish. If you're someone who enjoys staying organized, solving problems, and working with customers while supporting multiple projects, we'd love to hear from you.

Key Responsibilities

Customer & Sales Support

  • Prepare quotes and proposals for public safety equipment and services.
  • Maintain strong relationships with customers and provide exceptional service.
  • Communicate project timelines, product availability, and order updates.
  • Coordinate with vendors and manufacturers regarding equipment and lead times.
  • Maintain customer records and project activity within the CRM system.

Administrative & Operations Support

  • Provide day-to-day administrative support for company operations.
  • Organize inventory, parts, staging areas, and order tracking.
  • Assist with purchasing equipment and materials.
  • Maintain accurate project documentation and customer records.
  • Support workflow improvements and operational efficiency initiatives.

Accounting & Financial Support

  • Process customer invoices using QuickBooks Online.
  • Assist with billing, payment tracking, and purchase documentation.
  • Maintain organized financial records related to projects.

Project Coordination

  • Help coordinate multiple active projects from start to completion.
  • Monitor project timelines and follow up on outstanding tasks.
  • Collaborate with internal teams to keep projects moving efficiently.
  • Identify issues proactively and help develop solutions.

Qualifications

Required

  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • High attention to detail and accuracy.
  • Strong computer proficiency.
  • Ability to prioritize multiple projects in a fast-paced environment.
  • Professional customer service and relationship-building skills.
  • Self-motivated with the ability to work independently.

Preferred

  • Experience in administrative support, project coordination, operations, or customer service.
  • Experience using CRM software.
  • Proficiency with Microsoft Office Suite (Outlook, Excel, Word, Teams, and PowerPoint).
  • Experience with QuickBooks Online.
  • Experience in public safety, emergency vehicles, fleet services, automotive, construction, or other technical industries.
