Events Coordinator

Position Title Events Coordinator Location Hanover, NH 5 Allen Schedule Monday through Friday, 8:00 AM - 5:00 PM. Available nights and weekends for event oversight. Position Purpose Provide overall support to the Advancement Events Team, reporting directly to the Associate Director, in the planning and execution of Advancement Events. Responds to specific division objectives by contributing to the strategic and tactical development of events and programs for the institution that connect alumni with each other and the College in support of the priorities of Advancement. Responsibilities Supports and assists the Advancement Events team in the planning and execution of the full portfolio of Advancement Events. Preparation of event collateral, name badges, guest lists, briefing and flashcard information. Learn and utilize event related software and systems. Plan and execute virtual events, including setup and management of Zoom meetings and webinars. Coordinate event arrangements with various College offices and/or local vendors. Ensure all necessary event materials are prepared, packed, or shipped for on and off campus events. Maintain up‑to‑date, fully stocked inventory of all event‑related materials. Support and arrange team meetings and agendas. Attend events providing on‑site support required to ensure smooth execution. Assist Assistant Director with implementing and supporting programs designed to engage alumni/ae, especially Reunions and Home Coming. Administratively support events that accomplish specific AR objectives with high levels of attention to detail. Extract data from the Advance database and generate reports, ensuring data integrity. Assist with event contract processes and ensure payment for vendor invoices and travel reimbursement. Participate in training sessions to learn and support the Advancement organization's Core Values. Perform other duties as assigned. Required Qualifications Bachelor's degree or equivalent combination of education and experience. Two years of relevant experience in event management. Excellent attention to detail. Experience in a large and complex environment with collaboration and flexibility. Creative planning, organizational, and problem‑solving skills. Knowledge of logistical event management. Ability to use data for reporting, event planning, and execution. Strong verbal and written communication skills and customer service ethic. Strong technology skills, including Microsoft Word, Excel, Outlook, Zoom, and relational databases. Ability to prioritize and manage details on multiple events concurrently in a fast‑paced environment. Ability to be perceptive and responsive to direction set forth by Advancement leadership. Valid U.S. or Canadian driver's license and approval as a driver under Dartmouth College Driver Safety and Motor Vehicle Policy. Availability to work nights and weekends for event oversight. Preferred Qualifications Experience in non‑profit fundraising and volunteer management, preferably in higher education.
