The Role We are seeking a detail-oriented, highly organized Assistant Business Office Manager to support our campus's day-to-day financial operations. Working side-by-side with the Business Office Manager (BOM), you will be directly involved in managing skilled nursing and long-term care billing, resident trust accounts, accounts receivable (A/R), and family financial consultations. This is a perfect career opportunity for an administrative professional with a solid foundation in medical billing or healthcare bookkeeping who wants to grow into a senior leadership role. Key Responsibilities Billing & Accounts Receivable Support: Assist with the monthly billing cycles for Medicare, PA Medicaid, private pay, and commercial managed care insurances. Collections & Aging Reviews: Review accounts receivable aging reports under the direction of the BOM, following up on outstanding payments and helping resolve billing discrepancies. Resident Trust Fund Management: Maintain meticulous logs and balances for the resident trust accounts, ensuring accurate tracking of personal deposits, withdrawals, and full compliance with state regulations. Admissions & Insurance Verification: Coordinate with the admissions department to verify insurance benefits, secure authorizations, and meet with incoming residents or families to review financial responsibilities. Administrative Record Keeping: Ensure employee onboarding financial paperwork, local accounts payable routing, and vendor invoices are accurately coded, scanned, and forwarded to central finance. Qualifications Experience: Minimum of 1–2 years of experience in an administrative billing, bookkeeping, or office setting. Direct experience in a long-term care facility, skilled nursing facility (SNF), or hospital billing department is highly valued. Systems Knowledge: Strong proficiency with computer systems and Microsoft Excel. Familiarity with specialized long-term care electronic health records (EHR) and billing platforms like MatrixCare, PointClickCare, or similar systems is a massive plus. Financial Skills: Comfort dealing with numbers, data entry accuracy, and basic knowledge of healthcare reimbursements (Medicare/Medicaid processes). The Personality: Excellent communication and customer service skills. You must be able to explain complex billing and insurance statements to residents and their families with empathy, patience, and absolute professionalism.
