Executive DirectorThe New York State Archives Partnership Trust, within the Office of Cultural Education at the New York State Education Department (NYSED), seeks to fill the position of Executive Director. The New York State Archives Partnership Trust (the Trust) is a 501(c)(3) not-for-profit organization and a public benefit corporation created to support and advance the work of the New York State Archives. The Trust secures private funding to build an endowment and to underwrite educational, awareness, and preservation projects that expand public access to, understanding of, and use of the New York State Archives. The Trust operates a statewide program and partners with history and community organizations to advance New York State history while incorporating records from the New York State Archives to promote and educate about the state's rich history.The New York State Archives, within the Office of Cultural Education, identifies, preserves, and makes available more than 300 million records of colonial and state government that have enduring value to all citizens. The Executive Director reports to the Board of the New York State Archives Partnership Trust and works under the general direction of the New York State Archivist to ensure Trust operations and programs are aligned with the mission and needs of the New York State Archives. Duties include, but are not limited to, the following:Manages the day-to-day operations of the Trust including all development and on-going outreach efforts;Supervises Trust staff, currently including five full-time associates;Serves as a senior member of the State Archives leadership team;Oversees all components of raising endowment and special project funding, including marketing, building the annual giving and planned giving programs, planning and carrying out special events in support of development, grant writing, and soliciting funds from individual, foundation, corporate and public sources;Provides support for and development of the Trust's stewardship program, which recognizes individuals who have provided higher levels of financial support;Works with staff to identify potential donors and partners, including preparing prospect lists for evaluation and assignment to Board members, the State Archivist or others. Plans cultivation and solicitation strategies;Works with State Agencies and Local Governments on outreach and promotional activities to highlight archival records and sound records management practices;Prepares grant applications to public and private organizations to support the work of the Trust and the State Archives and provides appropriate reporting and accountability to granting organizations;Develops the annual work plan and budget for Board review and approval;Leads a team that includes the Manager of Education Programs to organize and deliver education programs through the publication of the New York Archives Magazine, the New York Archives Jr.! and the operation of the online system ConsidertheSourceNY.org, which delivers primary source materials and education support resources to teachers and students statewide;Manages and supervises other staff members to plan and carry out special events and public programs including the Empire State Archives and History Award and the monthly New York Archives Magazine online speaker series;Carries out direct solicitation of prospective donors, individually or with other leaders, Trust Board members or others and coordinates stewardship and reporting activities;Plans and implements public relations and marketing strategies that support Trust fundraising initiatives and coordinates with the NYSED Communications Office;Develops, monitors and evaluates annual and long-range fundraising plans. Works collaboratively with the board and State Archives' and Office of Cultural Education leadership to achieve programming goals and development objectives;Oversees all financial reporting and accounting activities including meeting obligations for not-for-profit and public benefit corporation reporting to state and federal authorities;Plans, supervises, writes, contributes to and/or edits development materials including: grant proposals; reports; public information documents, including quarterly membership magazine and e-newsletter; and correspondence for the cultivation, solicitation, and special recognition of foundation, corporate, individual and other prospective donors;Oversees the preparation of Board and committee agendas, minutes of Board and committee meetings, work plans, reports and records of development activities, and budget statements for the Board; andMay assist with fundraising efforts of the New York State Museum and New York State Library.At least eleven years of successful experience in not-for-profit organizations that support endowment, foundation, corporate, and major gift fund raising activities. Experience includes meeting reporting and accountability requirements for not-for-profits; identifying, cultivating, and soliciting major gift prospects; developing and maintaining partnerships with key stakeholders, donors, and potential donors and a demonstrated record of success implementing funding strategies and tools. At least two years of the qualifying experience must have been at the managerial level. A bachelor's degree may substitute for four years of qualifying experience. A master's degree may substitute for five years of qualifying experience.Preferred qualifications include experience with government organizations or cultural institutions.Conditions of employment include the opportunity to telecommute up to 30% each bi-weekly pay period and 10% in-state/Statewide travel.
