ESSENTIAL DUTIES

• Serve as the primary point of contact for all new patient inquiries via phone, email, online requests, and physician referrals.
• Coordinate the complete intake process for new patients, ensuring a seamless and compassionate onboarding experience.
• Schedule initial consultations and diagnostic appointments based on physician availability and clinical priorities.
• Obtain, review, and organize outside medical records, pathology reports, imaging studies, laboratory results, and referral documentation prior to patient appointments.
• Verify insurance eligibility and benefits, obtain required authorizations, and accurately enter insurance information into the EMR.
• Coordinate communication with referring physicians' offices to ensure all required documentation is received before the patient's visit.
• Educate patients on appointment expectations, required documentation, and next steps throughout the intake process.
• Monitor new patient scheduling to ensure timely access to care and adherence to departmental scheduling protocols.
• Collaborate closely with physicians, nursing staff, imaging, radiation oncology, infusion, laboratory, and ancillary departments to facilitate coordinated patient care.
• Maintain accurate documentation in the EMR and generate tasks as needed to ensure efficient follow-up.
• Provide exceptional customer service while demonstrating empathy, professionalism, discretion, and excellent communication skills.
• Support front office operations by answering phones, greeting patients and visitors, directing calls, and assisting with additional administrative duties as needed.
• Ensure compliance with HIPAA regulations and Beverly Hills Cancer Center policies and procedures.

REQUIREMENTS

• Bachelor's degree preferred.
• Minimum of two years of patient coordination, medical front office, scheduling, or healthcare administration experience required.
• Experience with insurance verification, prior authorizations, and medical terminology required.
• Oncology, imaging/radiology, or specialty medical practice experience strongly preferred.
• Experience obtaining and reviewing medical records preferred.
• Excellent organizational, communication, and customer service skills.
• Strong computer proficiency and EMR experience required.
• Ability to prioritize multiple tasks while maintaining exceptional attention to detail.
• Spanish-speaking candidates preferred.
