Administrative AssistantProvides general office support with a variety of clerical activities and related tasks. The Administrative Assistant will be responsible for arranging meetings and events, greeting customers, answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, requisition of supplies as well as additional clerical duties.Essential Duties and ResponsibilitiesAnswers telephones and directs calls.Greets and directs visitors.Provides callers with information such as company address, directions to the company location, company fax numbers, company website and other related information.Utilizes HRIS systems to maintain employee records and monitor attendance tracking.Receives, sorts and forwards incoming mail. Maintains and routes publications.Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)Monitors, distributes, and maintains accurate records of live check disbursements.Assists with developing and maintaining employee communication, newsletters, and social media accounts.Assists in the ordering, receiving, stocking and distribution of office supplies.Assists with other related clerical duties such as photocopying, faxing, filing and collating.Develops and maintains community outreach and sponsorship management.Provides support to HR team on an as-needed basis applicable to the planning, scheduling, company events, and company awards.Coordinates and maintains records for housing, vehicle, and maintenance operations.Assists with invoice processing and tracking to ensure accurate recordkeeping.Manages company uniform inventory, including ordering, tracking, and cancellations.Maintains and oversees vending and market operations.Coordinates lunch orders and catering arrangements for client and vendor meetings.Skills and ExperienceHigh School Diploma requiredKnowledge of computers specifically, experience in Microsoft Office software.Some college preferred2-4 years administrative experienceProficient computer skillsFlexible, collaborative, and customer focusedOrganizational CultureWork safely and follow rules and guidelines for safe workReporting to work on time and with a positive attitudeResponsible for staying focused on tasks at handBeing responsible for work performance and completing tasks throughout the dayMaintains a good working relationship with co-workersSupport a positive and steady workflow through the companyWorks with a sense of urgency when neededSupport, coach or mentor co-workers when neededPositively support change throughout the companyPhysical Work ConditionsMust be able to work in a hot environmentMust be able to lift and move aluminum wheels of varying weightMust be able to stand and walk for up to 12 hours per dayMust be able to wear personal protective equipment when required*Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job.
