Job Summary
The Student Support Coordinator for graduate and extended studies/non-traditional programs provides student centered support for recruitment, inquiry response, application assistance, admissions coordination, onboarding, and student persistence. This position serves as a primary point of contact for prospective, applicant, admitted, and enrolled students; supports students as they move through the inquiry, application, admission, enrollment, and onboarding process; maintains communication with academic departments and campus partners; and provides data related to inquiries, applications, admissions, enrollment, retention, and persistence to support enrollment growth and planning.
The position supports programs within graduate studies and extended/non-traditional academic programs as assigned, including, but not limited to, certificate programs, dual credit, Adult Education & Literacy, Learning in Retirement, and other related academic initiatives.
Essential Job Functions, Duties and Responsibilities
- Serve as a primary student support contact for prospective, applicant, admitted, and enrolled students in graduate, extended studies, and related non-traditional academic programs.
- Respond to questions from prospective and current applicants regarding program options, admissions requirements, application steps, deadlines, missing materials, and next steps.
- Track student application progress from inquiry through admission, maintain accurate records of contacts and application status, and communicate concerns, delays, or barriers to appropriate offices and program leaders.
- Coordinate onboarding for admitted and enrolled students, including communication, orientation support, next-step guidance, and connection to appropriate university resources.
- Provide application follow-up and proactive outreach to students with incomplete applications, missing admissions materials, or unresolved enrollment steps.
- Monitor student engagement, enrollment status, and retention concerns; communicate issues to appropriate departments, program leaders, and campus offices.
- Serve as a liaison between students, Admissions, Student Financial Services, Registrar, academic departments, and Graduate and Extended Studies.
- Support recruitment, marketing, outreach, information sessions, events, and table presence for graduate, extended studies, non-traditional, and certificate programs in collaboration with academic departments, Admissions, and Marketing.
- Provide application, inquiry, admissions, recruitment, retention, and persistence data to support enrollment planning and decision-making.
- Identify barriers in the student intake, admissions, onboarding, enrollment, and retention process and recommend improvements to strengthen student service and enrollment outcomes.
- Maintain confidentiality and comply with university policies related to student records, admissions information, and student support documentation.
- Perform other duties as assigned.
Knowledge, Skills, and Abilities
- Knowledge of higher education admissions, recruitment, student services, and enrollment processes.
- Ability to communicate clearly and professionally with prospective students, applicants, departments, and university offices.
- Strong attention to detail, follow-through, organization, problem-solving, and commitment to student centered service.
Minimum Qualifications
- Bachelor’s degree required; master’s degree preferred.
- One to three years of experience in higher education, admissions, recruitment, student services, academic advising, enrollment management, or related administrative support.
- Experience communicating with students, applicants, faculty, staff, and campus partners.
- Experience using student information systems, CRM systems, application systems, or similar technology platforms preferred.
- Strong written, verbal, interpersonal, organizational, and customer service skills.
- Ability to track multiple students, deadlines, application steps, and communication needs with accuracy.
- Ability to work independently and collaboratively in a fast-paced environment.
Physical Demands
- Prolonged periods of sitting and computer use.
- Light sedentary office work.
- Ability to lift up to 25 lbs.
