Dacula Pediatrics is seeking a Front Desk Coordinator/ Scheduler for our small pediatric clinic  in Dacula, GA. The candidate must possess the ability to provide excellent customer service while managing multiple tasks including answering phone, making notes in an electronic EMR system, and scheduling patients for services. Time management, communication, critical thinking, ability to follow directions, and being detailed oriented are required.  THIS IS NOT AN ENTERY LEVEL MEDICAL OFFICE POSITION.

Job description: The Administrative Assistant serves as the first point of contact for clients and visitors, providing exceptional customer service while supporting the day-to-day administrative operations of the practice. This role is responsible for client scheduling, appointment coordination, insurance document management, and assisting clients with billing and appointment-related inquiries.

Key Responsibilities

• Greet and check in clients in a professional, welcoming, and confidential manner.
• Answer incoming phone calls and respond to client inquiries.
• Schedule, reschedule, and confirm client appointments.
• Scan, upload, and maintain client insurance cards and related documentation in the electronic health record system.
• Verify that client demographic and insurance information is current and accurate.
• Assist with intake paperwork and ensure required forms are completed.
• Serve as a liaison between clients and the billing company regarding billing questions and concerns.
• Assist clients with understanding account balances, insurance information, and payment processes.
• Communicate with the billing company to resolve client billing issues and follow up as needed.
• Collect copayments and other client payments as required.
• Perform other duties as assigned to support the efficient operation of the practice.

Qualifications

• High school diploma or equivalent required,
• Minimum one year of administrative, receptionist, or customer service experience preferred.
• Experience in a healthcare, behavioral health, or medical office setting preferred.
• Strong organizational and multitasking skills.
• Excellent verbal and written communication skills.
• Proficiency with Microsoft Office and electronic health record systems is required.
• Ability to maintain confidentiality and handle sensitive information with discretion.
