Vice President Operations

CareCollab is a mission-driven Medicaid Health Home Care Management Agency serving members across New York City, Westchester, and Nassau County. We provide intensive, person-centered care coordination for individuals with some of the most complex medical, behavioral health, and social needs. As we continue to grow from approximately 1,100 members toward 5,000+, we are intentionally building the operational infrastructure, leadership team, and systems necessary to support sustainable growth while maintaining exceptional quality of care. The Opportunity The Vice President of Operations is responsible for creating the operational structure that allows CareCollab to scale successfully. This role oversees the organization's operating rhythm—ensuring that priorities are clear, communication is consistent, leaders are accountable, workflows are efficient, financial goals are achieved, and operational performance is continuously improving. Reporting directly to the CEO, this individual serves as the organization's operational leader, translating strategic initiatives into measurable execution while ensuring every department is aligned around shared goals and organizational priorities. The successful candidate is highly organized, systems-oriented, financially savvy, and comfortable creating accountability across multiple departments while fostering a collaborative, high‑performing culture. What You Will Own Operational Leadership & Organizational Execution Lead day-to-day operations across Care Management, Enrollment, Compliance, Quality, Billing, Human Resources, and other operational functions. Develop and maintain standardized operational workflows that improve efficiency, consistency, and cross-functional collaboration. Create structure where structure is missing by implementing scalable systems, policies, and operational processes. Ensure operational priorities remain aligned with organizational goals and strategic initiatives. Monitor organizational performance through dashboards, KPIs, and scorecards, driving action when performance falls below expectations. Remove operational barriers that impede productivity or growth. Leadership Accountability & Performance Management Establish clear goals, expectations, and measurable performance metrics for department leaders. Build an organization-wide culture of accountability through regular performance reviews, operational meetings, and follow-up processes. Hold leaders accountable for delivering results while providing coaching and support when needed. Ensure departments operate with ownership rather than dependency on executive intervention. Drive execution by ensuring commitments are completed on time and organizational priorities remain on track. Communication & Organizational Alignment Develop and manage the organization's operational communication cadence, including leadership meetings, department meetings, strategic planning sessions, and organizational updates. Improve communication across departments by creating consistent processes for information sharing, issue escalation, and decision-making. Ensure leadership teams remain aligned around priorities, timelines, and responsibilities. Serve as the primary operational liaison between the CEO and department leadership. Foster collaboration and transparency across the organization. Financial Leadership & Business Operations Own the organization's annual operating budget and full departmental P&L. Monitor monthly financial performance against budget and develop action plans to address variances. Partner with Finance, Billing, and Revenue Cycle teams to maximize financial performance, operational efficiency, and revenue integrity. Evaluate operational investments and resource allocation to ensure financial sustainability. Develop financial forecasts, operational budgets, and business cases supporting organizational growth. Ensure operational decisions support both mission impact and long‑term financial performance. Strategic Planning & Organizational Growth Translate organizational strategy into actionable operational plans with defined milestones, timelines, and ownership. Lead organization-wide goal-setting processes and monitor progress throughout the year. Manage implementation of strategic initiatives across departments. Support organizational expansion through scalable operational infrastructure. Oversee implementation of new technologies, operational improvements, and cross‑functional initiatives. Continuous Improvement Evaluate workflows, policies, and operational processes to identify opportunities for improvement. Lead process improvement initiatives focused on efficiency, quality, employee experience, and member outcomes. Utilize data to identify trends, monitor organizational performance, and inform decision-making. Ensure operational compliance with all applicable Medicaid Health Home, NYS DOH, and HIPAA requirements. What You Bring Required Qualifications Bachelor's degree required; Master's degree in Healthcare Administration, Business Administration, Public Health, or related field preferred. Minimum 7 years of progressive operations leadership experience in healthcare, managed care, care management, or human services. Demonstrated experience leading multiple operational departments simultaneously. Proven success building organizational structure, operational processes, and accountability systems within a growing organization. Significant experience developing operational workflows that improve efficiency and consistency. Hands‑on ownership of budgeting, financial planning, and full P&L management. Experience establishing KPIs, dashboards, scorecards, and operational reporting systems. Strong project management and organizational leadership skills. Exceptional communication skills with the ability to influence leaders across all levels of the organization. Experience leading managers and developing high‑performing leadership teams. Strongly Preferred Experience within Medicaid Managed Care, Health Homes, Value-Based Care, or Community-Based Care Management. Familiarity with Foothold Care Management or similar electronic care management platforms. Experience scaling organizations through periods of rapid growth. Lean, Six Sigma, or other process improvement experience. Strong understanding of healthcare reimbursement, operational finance, and regulatory compliance. Direct experience overseeing care management, care coordination, or field‑based clinical programs serving high‑acuity Medicaid populations. #J-18808-Ljbffr
