Ownership & Responsibilities   
Sample organization   Keeps samples organized, labeled, and stored so any style can be found quickly.
Inbound / outbound log   Logs and registers every sample coming in and going out.
Missing samples   Tracks missing samples and follows up until each is found or resolved.
Style log   Updates the style log to prepare samples for sales events.
Event prep   Works with Sales, Production, and others to prepare samples for sales events, photoshoots, and important company events, according to the purpose of each (see Section 3, C to F).
Weekly style database   Updates the weekly style database so the follow-up sheets stay refreshed.
ERP / PLM   Updates sample and style information in the ERP / PLM.
Customer and rep requests   Coordinates sample requests from buyers and sales reps, including shipping, tracking numbers, and returns.
Sample inventory counts   Runs a regular physical count and reconciles it against the log.
Data accuracy   Confirms the physical sample matches ERP / PLM data (style number, color, size, status).
Sample disposition   Handles samples from killed or discontinued styles (archive, sample sale, donate, discard), following the Sold-Out & Kill Style Workflow.

Core Duties   
A. Daily   
Log and register all inbound samples (date received, style, color, size, source, condition).   
Log and register all outbound samples (date sent, recipient, purpose, tracking number, expected return date).   
Keep the samples organized, labeled, and stored properly.   
Update the style log as samples move or change status.   
Respond to sample requests from Sales and other teams.   
B. Weekly   
Update the weekly style database so the follow-up sheets are refreshed.   
Review the log for missing, overdue, or unreturned samples and follow up.   
Update sample and style information in the ERP / PLM.   
C. Event preparation (all purposes)   
Steps shared by every event. Sample prep then follows the purpose of the event (see D to F).   

Confirm the event date, the purpose, and the styles needed with Sales.   
Check the style log for availability, location, and status of each sample.   
Work with Production and other teams on any samples that are missing, late, or in the wrong color or size.   
Prepare the samples for the purpose of the event (see D to F).   
Log all outbound samples before they leave.   
After the event, recover the samples, check condition, and update the log and ERP / PLM.   
D. Sales events   
Used for sales appointments, trade shows, showroom events, and other important company events.   

Prepare the sample set requested by Sales, per the style list.   
Check that each sample is clean, pressed, complete, and tagged with the style number and color.   
Group samples by customer, appointment, or rack, as Sales requests.   
Pack or hang the samples so they are ready to transport, and keep a copy of the list with them.   
E. Photoshoots   
Used for photography and online content. Confirm shoot details with the Online Team and Sales.   

Confirm the shoot date, the styles, and the colorways needed.   
Pull the samples for the shoot.   
Hand off the samples to the shoot team with a checklist, and log them as outbound.   
After the shoot, recover the samples, check condition, and update the log and ERP / PLM.   
F. Sample sale (occasional, about twice a year)   
Used for the company sample sale. Confirm the sale details with Sales.   

Confirm the sale date, location, and the samples included.   
Pull the samples designated for the sale.   
Prepare the sample racks so the samples are organized, tagged, and easy to browse.   
Keep a list of the samples on each rack, and log them as outbound to the sale.   
After the sale, recover the unsold samples, record what was sold, and update the log and ERP / PLM.
