The Program Operations Coordinator ensures that every operational component of Best Companies Group's programs is executed accurately, completely, and on time. Working in close coordination with fellow Operations teammates, Program Managers, Customer Support Specialists, SIP, Research, and BES, the Program Operations Coordinator owns the integrity of program data and files across all systems — keeping information clean, current, and accessible to everyone who needs it. The Program Operations Coordinator performs this work across all programs, coordinating accordingly, and continually look for ways to make operational processes easier, faster, and better.

Objectives + Responsibilities:

• Set up and maintain program files and sheets, coordinating with other Operations teammates as well as Sales and Research.
• Keep all program data accurate, up to date, and ready on time.
• Uphold SOPs — and update them when processes change so documentation reflects how the work is actually done.
• Keep customer, program, and partner data correct, clean, and current across all files and systems.
• Give every teammate access to the most accurate, up-to-date program data, proactively communicating changes to all relevant BCG teammates.
• Partner cross-functionally with Program Managers, Customer Support Specialists, Sales, and Research to ensure seamless program execution.
• Identify and introduce process improvements that make the work easier, faster, and more reliable.
• Set up and maintain program files. Build, update, and finalize the tracking sheets, registration files, and master lists that each program runs on, carrying over relevant customizations from prior cycles.
• Keep data current. Refresh registration and program data multiple times per week and ensure all files are accurate and up to date ahead of every scheduled communication.
• Maintain data quality. Clean and prepare email lists, standardize company information across files, and clear out outdated data carried over from prior years.
• Coordinate across programs. Track information shared between programs and perform this work consistently across the full program portfolio.
• Support reporting. Maintain year-over-year comparison reporting and run financial reports to flag outstanding invoices, including accounts carried over from the prior year.
• Manage program systems. Keep program data accurate and organized within the team's marketing, CRM, and file-transfer tools, prioritizing the highest-impact work when workload is heavy.
• Improve the process. Continuously find and introduce ways to make operational work easier, faster, and more accurate.

Qualifications + Requirements:

• 1–3 years of experience in operations, program coordination, data administration, or a similar role.
• Strong spreadsheet skills (Excel and/or Google Sheets), including comfort working with large datasets.
• Exceptional attention to detail and a commitment to data accuracy.
• Strong organizational and time-management skills, with the ability to juggle multiple programs and deadlines simultaneously.
• Clear, proactive communicator who keeps stakeholders informed of changes.
• Experience with CRM, email marketing, or data management systems is a plus.
• A process-improvement mindset — always looking for a better, faster way to do the work.
• Comfortable working cross-functionally across multiple teams.
• Reliable home internet connection with minimum 50mbps up/10mbps down.
