Lot Operations & Admin Coordinator

Job Title: Lot Operations & Admin Coordinator FLSA Status: Full Time (40 hours), Non-Exempt Department: Lot Operations Reports to: Director of Lot Operations Salary: $27.00 Effective Date: 06.05.2025 At Safe Parking LA, we value teamwork, compassion, and community impact. WHAT YOUR DAYS CONSIST OF Lot Operations Support (60%) Daily driving to offsite locations within a 4-25 mile radius of the office, including travel between Los Angeles and the San Fernando Valley. Provide support to clients at the parking lots, answering questions, resolving issues, and enforcing program rules and policies. Coordinate and deliver donations and resources to clients enrolled in the program. Assist volunteers with meal service, donations, and cleanup activities as needed. Ensure clients sign in and out appropriately, and report disturbances or issues at the sites. Perform daily routine site inspections, including: Checking in with security about client activities and operational procedures. Monitoring vehicles against sign-in sheets, ensuring operational accuracy. Inspecting restrooms, lighting, trash levels, and emergency supplies. Emptying trash and ensuring all trash cans are stocked with bags. Monitoring facility conditions, including picking up trash, inspecting locks, and ensuring storage bins are stocked. Checking handwash stations for functionality and restocking supplies as needed. Ensure that all facilities and supplies are in good working order to maintain a safe and clean environment. Work collaboratively or independently on tasks assigned by the Director or Leadership Team, and ensure clear communication of all meeting materials. Administrative Support (40%) Maintain accurate and organized records, including daily logs, mileage reimbursement forms, and monthly reports. Assist with scheduling meetings and coordinating logistical tasks for the team. Provide field training to new and existing staff on operational procedures. Utilize trauma-informed care and de-escalation techniques when engaging with clients. Compile and submit monthly reports detailing site inspections, operational activities, and any issues or concerns. Support the Director of Lot Operations with clerical tasks, including organizing materials and managing communications. Attend weekly meetings with the Director of Lot Operations and monthly staff meetings during business hours. Ensure shared drive records are consistently updated and maintained. File and manage all incident reports, assisting in related investigations. Maintain up-to-date employee records. Communicate event details and program reminders through email blasts and presentations for new volunteers. Order and manage inventory supplies for parking lots, including refreshment supplies for the Iowa lot. Handle all inventory supply ordering and distribution. Other duties as assigned WHAT TO EXPECT Dynamic Work Environment: You'll be traveling to different parking lot locations regularly, engaging with clients, assisting with daily operations, and troubleshooting issues. Direct Client Interaction: You'll support individuals experiencing vehicular homelessness, answer questions, provide resources, and enforce program rules. Problem Solving: Since issues can arise unexpectedly, being proactive and solution-oriented will be key. Physical Tasks: Expect routine inspections, facility maintenance, and occasional lifting/moving of supplies. Administrative Functions: Record-keeping, scheduling, reporting, and supporting leadership with clerical duties. WHAT DOES SUCCESS LOOK LIKE AT Strong Client Support: You make clients feel safe, heard, and supported while ensuring program policies are followed. Effective Lot Operations: The parking lots remain clean, secure, well-maintained, and compliant with program guidelines. Reliable Communication: You provide clear reports, maintain accurate records, and collaborate effectively with leadership. Teamwork & Initiative: You proactively assist staff and volunteers, ensuring smooth daily operations and fostering a positive work environment. Trauma-Informed Approach: You engage with clients using empathy and de-escalation techniques to create a supportive atmosphere. QUALIFICATIONS Prior experience working with people experiencing homelessness or vulnerable population services is required. Minimum of 2 years of program leadership experience and direct staff supervision of at least 4 or more employees. Technical expertise in service delivery with LAHSA, DMH, and DHS funding is preferred. Excels at operating in a fast-paced environment and readily adaptable to changing circumstances based on funding cycles and government policy. Excellent interpersonal, written, and verbal communication skills and experience writing policy-driven documents. Technologically fluent and proficient in Excel, Word, and Outlook. Experience recruiting and managing volunteers and interns a plus. Bilingual Spanish speaking preferred. A valid California drivers license, access to a reliable vehicle, and auto insurance (as required by law) OR access to reliable and timely transportation to the SPLA office, program sites, and off-site meetings. Background check (Live Scan) required by funding and regulatory agency. COVID-19 vaccination and TB clearance are required by funding and regulatory agencies. LANGUAGE SKILLS Ability to write participant data accurately, cohesive reports, and professional correspondence. Ability to effectively present information and respond to questions from your supervisor, participants, Safe Parking LA teammates, partner organizations, and the public. Ability to read, analyze, and interpret organizational procedures, governmental regulations, and news alerts from public agencies. Ability to respond effectively and compassionately to the most sensitive inquiries or complaints. Spanish or other language skills, highly desirable. REASONING ABILITY Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. SCHEDULE This is a part-time, non-exempt role with an average of 20 hours per week, and the possibility to work up to 30 hours with approval. The schedule is flexible. Work outside of normal business hours, including occasional evenings and weekends, is expected. Hybrid position with remote and on-site work at Safe Parking LA office and safe parking program location. Specific in-office and remote days and hours to be determined by development leadership.
