Human Resources Assistant

Place of Hope

Responsible for supporting Human Resources Leadership and the Human Resources department. POSITION QUALIFICATIONS High school diploma and two years of relevant human resources and/or administrative/clerical experience Flexibility and ability to prioritize a high volume of responsibilities with tight deadlines Advanced computer proficiency in Excel, Word, Outlook, Adobe Acrobat Pro. PERFORMANCE REQUIREMENTS Support Human Resources Leadership and Human Resources Department with applicable tasks. Monitor the Human Resources shared email and respond to inquiries, as applicable. Appropriately field Human Resources phone calls from staff, applicants, and vendors. Assist with maintenance of all records/backgrounds according to contract/compliance standards. Responsible for employee file maintenance, including—but not limited to—creating secure backups, appropriately scanning, and filing employee documents and/or department projects. Support the recruitment process and all applicant/staff background processing, and other records, according to compliance standards, including but not limited to DCF. Responsible for maintaining the HR Memo process. Support all applicable staff training, including but not limited to My FL Learn. Assist in employee lifecycle processes, including but not limited to onboarding and offboarding. Assist in all audit needs, including but not limited to financial, contract, benefit, and DCF audits. Assist with employee needs in the PTO and payroll management systems. Responsible for document tracking and collection, as assigned. Support the maintenance and updating of the applicable shared drive folders, as needed. Assist with managing all applicable HR calendars and scheduling HR meetings as required. Assist in the creation and maintenance of HR processes, as assigned. Support the performance appraisal process. Support the communication, tracking, and compliance of all applicable staff training. Support any other HR assigned tasks, including but not limited to reminder emails. Must be able to work under tight schedules and possess the ability to effectively handle pressure associated with deadlines. Ensure all activities and engagements with applicants, employees, volunteers, and vendors are handled with excellence and meet standards and policies. Required to train/cross-train other team members, as applicable. Required to schedule, support, and attend all meetings, as applicable.
