Client Services Coordinator at Signature Medical Spa

Job Overview:

• Enhance clients' experience through excellent customer service and professionalism
• Provide warm, friendly, HIPAA-compliant, and efficient service to clients, guests and employees
• Schedule cosmetic dermatology appointments by phone, in person and via email
• Promote and educate guests about medical spa services and skin care products
• Handle discounts and payments including reward programs and gift cards
• Restock and help manage retail, signage, refreshments and music
• Use phones and NexTech Practice+ software extensively
• Open and close the Practice when required
• May be trained to have specialized duties in daily financial balancing

Qualifications:

• Minimum one year of professional career experience in service or an office-based field preferable in a Spa or medical office
• A college degree or some college is preferred but not required (HS diploma or equivalent required)

Specific skills:

• Proficiency in Microsoft Office / Windows
• Ability to learn scheduling and payments in Nextech software
• Accurate keyboarding
• Excellent verbal and written communication skills
• Problem-solving skills

• Dependable, punctual, professional

Required certifications/training/documentation:

• Human Resources & OSHA trainings will be completed in office annually
• Annual Flu Vaccination by 12/1 of each year is required.

Physical abilities

• Sitting 80%-90% of the day
• Ability to safely lift 25lbs

The work schedule is Monday - Friday 9-6 most days (5 PM on Fridays) + 4 half-day Saturdays per year. This position reports to the Client Services Manager.
