Program Coordinator of the Masters of Science in Clinical Research

Job Description Under the direction of the Assistant Director within the Office of Graduate Education, this individual will divide their time among program management, student management, financial reporting, and admissions for the Master of Science in Clinical Research. Specific responsibilities include: Admissions: Coordinate efforts across units to ensure successful program launches at the start of each admission cycle. Collaborate with faculty on enrollment data, prepare and send communications to students, and monitor questions sent to the program inbox. Score incoming applications, schedule interviews with Program Directors and Alumni, participate in the interview, organize and facilitate the Admissions Committee, and send out decision letters. Communicate student numbers to Leadership, update databases as needed, and prepare visa documents. Monitor the student information system to ensure students are successfully onboarded to HMS. Program Management: Serve as primary course coordinator, planning and scheduling class sessions, coordinating content with the master’s team, and acting as liaison for internal and external constituencies, including students, faculty, teaching assistants, and administration. Maintain the program gradebook for tracking academic compliance and student progress. Work with Program Managers and faculty to update the course curriculum, including online and workshop components. Track development of agendas and educational materials, distribute materials to participants, and advise them regarding independent acquisition. Maintain an online library and schedule curriculum materials, including assignments. Coordinate preparation of online course material and upload to Canvas sites. Manage guest lecturer payments and related paperwork. Prepare materials for uploading and ensure availability to all students and faculty in a timely manner. Student Management: Create a sense of community for students during the program. Develop onboarding packets, manage the student hub, schedule and respond to student queries. Work with students at the beginning of each semester to ensure enrollment in the current courses. Interact with students, answer and triage questions, and serve as the primary contact for student issues. Financial Reporting: Develop contracts for faculty and process payments. Update finance spreadsheets and forecast finance payments during the budget season. Reporting & Special Projects: Maintain records of grades and other statistics and report as appropriate. Keep other records, including number of applications, diversity statistics, admissions data, etc. Develop and coordinate data and records for all students, alumni, and faculty. Initiate projects to identify ways to grow the program and collect relevant data. Qualifications Basic Qualifications: 4 or more years of experience. Higher education may count toward experience. Additional Qualifications and Skills: Must be proactive, detail‑oriented, and possess excellent time‑management skills. Additional Information Standard Hours/Schedule: 40 hrs. per week, Monday – Friday, 8:00 am – 5:00 pm. This is a hybrid position and requires the program coordinator to come into the office twice per week. Work Format Details This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non‑Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard‑designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University’s Policy on Employment Outside of Massachusetts. Additional details will be discussed during the interview process. Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment. Salary Grade and Ranges This position is salary grade level 055.
