Administrative Services Manager

Job Title Administrative Services Manager Pay Range Compensation for this position is expected to range between $85,000.00 and $95,000.00 per year, in alignment with what California Baptist University (CBU) reasonably anticipates paying for this role. The final rate may vary depending on the candidate’s qualifications, experience, and prevailing market conditions. In addition to competitive wages, CBU provides a comprehensive and generous benefits package to eligible employees. Summary Under general supervision, provides administrative, project, and executive support to the Office of the Provost and Senior Vice President for Academic Affairs. May provide specialist services in the areas of public and community relations, faculty affairs, general business administration, and/or student affairs, depending upon the functional area supported. Essential Duties and Responsibilities Assists Provost and Senior Vice President in recruiting, hiring,orientation, and training of personnel within the Division ofAcademic Affairs. Serves as the primary point of administrative contact andliaison with other offices, individuals, and institutions;coordinates and attends committee meetings. Provides leadership for the Academic Affairs administrativeteam. Performs research and analysis on specific issues, as required,and independently prepares non-routine letters and/or reports,which may be highly sensitive and confidential in nature. Manages supervisor’s calendar and independently schedulesappointments. Answers and screens Provost and Senior Vice President’stelephone calls and correspondence and responds independently whenpossible. Acts as custodian of corporate documents and records. Arranges programs, events, or conferences by arranging forfacilities and caterer, issuing information or invitations,coordination speakers, and controlling event budget. Assists the Provost and Senior Vice President on specificprojects related to the long‑term goals of the university, such asstrategic planning, fiscal responsibility, etc. Assists the Provost and Senior Vice President with themaintenance of all contracts/agreements with outside vendors. Works with Provost and Senior Vice President and theuniversity’s legal counsel to prepare agreements prior to renewalor startup. Develops and implements new administrative systems. Arranges and coordinates travel schedules andreservations. Coordinates and arranges meetings, prepares agendas, reservesand prepares facilities, and records and transcribes minutesofmeetings as needed. Performs other duties that are specific to the Office of theProvost and the Division of Academic Affairs. Presents a positive supportive image of the Office of theProvost and the Division of Academic Affairs, California BaptistUniversity and Christian Higher Education. Supervisory Responsibilities Carries out supervisory responsibilities in accordance with theorganization’s policies and applicable laws. Responsibilitiesinclude interviewing and training employees; planning, assigning,and directing work; appraising performance; disciplining employees;addressing complaints and resolving problems. This position couldalso be responsible for assigning work and/or giving direction topart-time Student Workers, in order to complete office workassignments. Ability to plan, develop, and coordinate multipleprojects. Ability to use independent judgment and to manage and impartconfidential information. Knowledge of standard budgeting and expenditure controlprocedures and documentation. Skill in the use of personal computers and related softwareapplications. Ability to coordinate and organize meetings and/or specialevents. A thorough knowledge of: Business English and arithmetic;general office methods, procedures, and practices. Ability to read and write at a level appropriate to the dutiesof the position. Ability to gather data, compile information, and preparereports. Strong interpersonal and communication skills and the abilityto work effectively with a diverse faculty, staff and studentbody. Must be highly organized who is able to remain calm in a fast‑paced, environment. Attention to detail and ability to follow-through with projectsa must. Physical Demands The physical demands described here arerepresentative of those that must be met by an employee tosuccessfully perform the essential functions of this job. Whileperforming the duties of this job the employee is regularlyrequired to stand; walk; sit; and requires sufficient hand, arm,and finger dexterity to operate computer keyboard or other officeequipment. Requires visual acuity to read words and numbers andspeaking and hearing ability sufficient to communicate in person orover the phone. The employee must occasionally lift and/or move upto 15 pounds. Work Environment The work environment characteristicsdescribed here are representative of those an employee encounterswhile performing the essential functions of this job. The noiselevel in the work environment is usually moderate. Work normallyperformed in a typical interior/office work environment, withminimal exposure to health or safety hazards. Education and/or Experience Bachelor’s degree from four-year university; or two to three yearsof related experience and/or training; or equivalent combination ofeducation and experience.
