Job Title: Receptionist

Job Summary:

• Answer the telephone, screen and direct calls.
• Receive and direct visitors.
• Hours: Monday - Friday 8:00 am - 5:00 pm (1 hour lunch break).

Work Performed:

• Answer and screen incoming telephone calls in a cheerful, courteous manner, promptly routing each call to the proper party and taking accurate messages when necessary.
• Assist in maintaining appropriate, periodic contact with outside staff (company salespeople, service technicians, truck drivers etc.) by recording and routing information on their whereabouts, estimated time of return, and important messages.
• Assist callers with general information and inquiries (being careful not to divulge sensitive information).
• Welcome and direct visitors to appropriate departments.
• Received, sign for, and distribute incoming packages delivered to the receptionist window.
• Type various reports, memos, quotation and correspondence.
• Assist other departments as directed or approved by the supervisor.
• Operate specialized equipment, including but not limited to: multi-line switchboard, computer, copier, postage machine.
• Keep work area neat and clean as directed by supervisor.
• Turn off all equipment at your workstation at end of each day.
• Perform other skilled duties as directed by supervisor and/or operations manager.
• Handle outgoing mail (US Mail, UPS, FedEx).

Qualifications:

• The preferred minimum level of education: high school diploma.
• Some clerical training and/or clerical experience is desirable.
• Professional dress.
• Courteous and pleasant manner.
• Good business communication skills.
• Knowledge of professional telephone techniques and customer relations.
