Staff Accountant

Job Description

Overview
We are seeking a detail-oriented and experienced Staff Accountant to join our finance team. This position is responsible for maintaining accurate financial records and supporting the organization’s day-to-day accounting operations.

The Staff Accountant will be responsible for accounts payable, accounts receivable, general ledger maintenance, bank reconciliations, journal entries, financial reporting, and month-end closing procedures. The position will also assist with audits, budgeting, and other accounting functions as needed.

Experience working with nonprofit organizations, membership organizations, labor unions, or similar organizations is a plus.

Duties

• Manage Accounts Payable (AP), including processing invoices, verifying supporting documentation, obtaining approvals, and preparing payments.
• Manage Accounts Receivable (AR), including recording payments, preparing invoices, monitoring outstanding balances, and following up on receivables.
• Maintain accurate and organized financial records using QuickBooks Online.
• Record and review journal entries and maintain the general ledger.
• Perform monthly bank and account reconciliations and investigate and resolve discrepancies.
• Assist with month-end and year-end closing procedures.
• Maintain accurate records of income, expenses, payments, deposits, and other financial transactions.
• Assist with tracking and reconciling membership dues, payments, and other organizational revenue, as applicable.
• Process and record transactions using proper double-entry bookkeeping principles, debits, and credits.
• Assist with preparation of financial statements, schedules, and internal financial reports.
• Monitor outstanding accounts payable and receivable and maintain accurate aging records.
• Provide documentation and financial records required for annual audits, reviews, tax filings, and other compliance requirements.
• Maintain organized and confidential financial records and supporting documentation.
• Work with the senior accountant and secretary-treasurer to resolve accounting questions and discrepancies.
• Ensure accounting procedures are followed consistently, and financial information is accurate and timely.
• Perform other accounting and administrative duties as assigned.

Requirements

• Bachelor’s degree in Accounting, Finance, or a related field preferred; equivalent accounting experience may be considered.
• 3+ years of accounting or bookkeeping experience, preferably in an organization with multiple accounts, departments, or entities.
• Strong experience with Accounts Payable (AP) and Accounts Receivable (AR).
• Proficiency with QuickBooks Online is required.
• Strong understanding of double-entry bookkeeping, debits and credits, journal entries, and general ledger accounting.
• Experience performing bank reconciliations and balance sheet reconciliations.
• Experience with month-end and year-end closing procedures.
• Strong understanding of basic accounting principles and GAAP .
• Experience preparing or assisting with financial reports and audit documentation.
• Excellent attention to detail and accuracy when handling financial information.
• Strong organizational and time-management skills with the ability to manage multiple deadlines.
• Ability to maintain confidentiality when handling financial, employee, membership, and organizational information.
• Proficiency with Microsoft Office, particularly Excel .
• Ability to work independently while also collaborating effectively with management and staff.

Pay: $50,000.00 - $55,000.00 per year
