Host / Reservationist

Boka Restaurant Group  and the Chicago Athletic Association  are currently seeking a F&B Reservationist to join their team!

The ideal candidate for this position will have at least 2 year of previous reservation/host experience in a high-volume restaurant. The Reservationist/Host must have open availability.

General Description: 

As a Reservationist for CAA F&B, you will play a pivotal role in managing guest communications, reservation systems, and administrative support functions for all assigned outlets. This position is responsible for ensuring a seamless guest booking experience through accurate reservation management, proactive communication, office organization, and support of restaurant operations.

Specific Tasks:

• Respond promptly and professionally to guest questions regarding reservations, events, restaurant information, and policies.
• Monitor and maintain reservation systems to ensure accuracy and consistency across all outlets.
• Review reservations in advance to identify and resolve potential issues, including duplicate bookings, special requests, guest notes, and reservation conflicts.
• Enter and maintain guest preferences, reservation notes, and special accommodations within reservation platforms.
• Process reservations received through external channels, including EDI reservations.
• Conduct reservation confirmations for upcoming reservations and large party bookings.
• Assist guests with reservation modifications, cancellations, and special requests.
• Escalate guest concerns, complaints, or reservation issues to management when appropriate.
• Check voicemail messages daily and complete all required guest follow-up and callback communications in a timely manner.
• Create, update, and maintain automated reservation responses to ensure guests receive accurate information regarding hours, policies, special events, and reservation procedures.
• Manage assigned email accounts and respond to inquiries in a timely and professional manner.
• Answer and direct incoming phone calls for all assigned outlets.
• Communicate reservation updates, guest requests, and operational information to restaurant management teams.
• Maintain and update reservation manuals, employee manuals, guidebooks, SOPs, and other operational resources to ensure accuracy and consistency.
• Manage reservation-related invoices, billing discrepancies, and vendor disputes, escalating issues as needed and ensuring timely resolution.
• Maintain accurate records, documentation, and administrative files.
• Maintain office cleanliness, organization, and professional presentation.
• Monitor office supply inventory and communicate ordering needs to management.
• Ensure office supplies, printer paper, first aid supplies, onboarding materials, employment applications (English and Spanish), and other required forms remain fully stocked and organized.
• Maintain printer functionality by replenishing paper and monitoring supply levels.
• Create, print, laminate, and distribute signage, notices, and other materials as requested by management.
• Assist office managers and leadership teams with administrative tasks, special projects, and operational initiatives.
• Support restaurant operations by facilitating accurate and timely communication between guests, managers, and outlet teams.
• Collaborate with leadership and restaurant teams to ensure a seamless guest experience.
• Assist with special projects, administrative assignments, and departmental initiatives as needed.
• Maintain a positive, professional, and guest-focused attitude at all times.
• Participate in training programs and professional development opportunities as assigned.

Physical Requirements 

• Lift and move up to 10 pounds, frequently lift and/or move up to 25 pounds and occasionally lift and/or move up to 50 pounds 
• Safely and effectively use all necessary tools and equipment
