The Business Operations Manager works directly with the company owner to oversee the day-to-day operations of the financial services office. This position serves as a central point of coordination between leadership, clients, financial professionals, and administrative staff. The role combines executive support, client service, personnel oversight, advisor/agent onboarding, and operational management.

Note - Hybrid remote: Office & Home

Key responsibilities would include:

• Manage and coordinate the owner’s calendar, meetings, priorities, and follow-up items.
• Oversee daily office operations and make sure administrative workflows run smoothly.
• Supervise, train, and coordinate the receptionist/operations staff member.
• Serve as a high-level point of contact for clients and help coordinate meetings, service requests, and follow-up.
• Coordinate onboarding of new financial professionals, including paperwork, systems access, training schedules, internal introductions, and follow-through.
• Track outstanding operational items and ensure deadlines are met.
• Coordinate between the owner, broker-dealer/home office, staff, financial professionals, vendors, and clients.
• Help establish and improve office procedures, checklists, and operating systems.
• Assist with recruiting, interviewing, onboarding, and training administrative staff as needed.
• Prepare reports, meeting materials, correspondence, and internal communications.
• Help coordinate compliance-related administrative processes without assuming responsibilities that must remain with appropriately registered or supervisory personnel.
• Handle confidential client, employee, and company information with discretion.
• Identify operational problems before they become the owner’s problem.

Experience

• Experience Required:
• 3–5 years of administrative, client service, or business operations experience, including experience supporting senior leadership and coordinating multiple operational priorities. Prior experience in financial services, insurance, preferred but not required. Supervisory experience preferred.
