Description

Our client, the U.S.'s largest commercial real estate services firm, is seeking a professional and customer-focused Front Desk Receptionist to join a collaborative office team in Santa Clara, CA . This is a 3-month contract opportunity with the possibility of extension.

The ideal candidate is personable, organized, and enjoys creating a positive first impression for employees, clients, and visitors. This role is perfect for someone who thrives in a fast-paced office environment and takes pride in delivering outstanding customer service.

Day-to-Day Responsibilities

  • Serve as the first point of contact for employees, visitors, and clients entering the office.
  • Welcome guests with a friendly and professional demeanor.
  • Answer and route incoming phone calls to the appropriate departments.
  • Assist visitors with directions and escort them to meeting locations when needed.
  • Ensure all guests are properly signed in while following established security procedures.
  • Create visitor badges and assist with temporary access requests.
  • Coordinate conference room reservations and meeting schedules.
  • Prepare meeting rooms to ensure they are ready for scheduled meetings.
  • Respond to employee and visitor inquiries in a timely, courteous, and professional manner.
  • Collaborate with team members to support daily office operations and maintain a welcoming workplace environment.
Qualifications
  • High School Diploma or GED required.
  • 1-2 years of experience in reception, customer service, hospitality, or a related office support role.
  • Excellent customer service and interpersonal skills.
  • Strong verbal and written communication abilities.
  • Professional appearance and demeanor.
  • Dependable with excellent punctuality and attendance.
  • Ability to work effectively in a team-oriented environment.
  • Strong organizational skills with the ability to multitask.
Preferred Qualifications
  • Experience supporting front desk or office reception functions.
  • Experience managing meeting room schedules or visitor management systems.
  • Proficiency with Microsoft 365, including Word, Excel, PowerPoint, Outlook, and Teams.
  • Comfortable using standard office technology and computer applications.
