Project Coordinator

$22 - $25 per hour

Project Coordinator Role We seek a Project Coordinator who will comply with company policies and procedures, business code of ethics, FLSA regulations, and all applicable laws, while ensuring confidentiality, reliability, quality, and productivity. The role involves distributing minutes to project team members, effectively communicating relevant project information, reviewing field inspection reports, ensuring all required project close‑out documents are obtained, conveying ideas for process improvement, keeping the Project Manager and others informed of project status, and maintaining tracking logs. Benefits Weekly Paychecks Paid Time Off, Parental Leave, and Holidays Insurance (including medical, prescription drug, dental, vision, disability, life insurance) 401(k) with Company Match Stock Purchase Plan Education Reimbursement Legal Insurance Discounts on gym memberships, pet insurance, and more Responsibilities Help coordinate project management activities, resources, equipment and information Work with the Project Manager to eliminate issues Assist with the creation and maintenance of comprehensive project documentation, plans and reports Read construction plans Develop & maintain project trackers Track and update schedules to adhere to deadlines Support close‑out packages Interface with subcontractors and vendors Support material coordination & ordering Ensure proper document control, safety, quality assurance documentation and construction project records are kept Work under a Senior Coordinator or Manager and support all project departments Other duties as requested by management Provide project support under the guidance of the lead PM Act as a primary customer interface by facilitating team meetings, providing minutes and action items Document and follow up on important actions and decisions from meetings Assist in cultivating strong relationships with clients and key vendors to assure project progression Provide administrative support as needed Daily Asbuilts for all projects Assist with capturing restoration sketches provided by in‑house and subcontractors for Asbuilts submission Assist with pulling job packets and entering information into Pauley systems Field job visits for Asbuilts/quality control for billing purposes Field work associated with potholing/locates for vendors working on PE Plans (as directed by the Construction Managers) Interact with subcontractors for weekly invoice submissions regarding their required paperwork for billing General office duties, filing, PO requests for equipment/materials, office supplies requests, and organization of construction office Assist HR with basic new hire and onboarding processes All other duties as assigned Qualifications Must be 18 years of age or older Authorization to work in the United States for this company Valid driver’s license upon employment Pass background check and company drug screening Pass all required training as needed May be required to work after hours, weekends or be on‑call as work is needed Regular and timely attendance is essential Excellent communication skills with internal and external customers 0 to 2 years of Project Management experience (desired) Strong financial, analytical, and problem‑solving skills, including understanding of legal documents and agreements Attention to detail, strong organizational skills, and ability to adapt quickly to changing deadlines and priorities Professional written and verbal communication skills Proficiency in Microsoft Office, Google Suite, Smartsheet Ability to work well in a team environment with internal and external stakeholders Ability to work in a fast‑paced environment using critical thinking skills to resolve problems Previous work experience in construction, telecommunications or technical field is preferred Strong communication and organization skills Physical & Safety Requirements Stand, crouch, sit, bend, use hands and fingers to handle or feel objects, reach with hands and arms Stand, walk, climb, balance, crawl, crouch, lift, hold or stoop as needed Noise level in the work environment is low Occasional exposure to outside weather conditions, including extreme heat and cold, rain, snow, sleet, dust, and adverse driving conditions May be required to lift or move up to 10 pounds and frequently lift up to 50 pounds Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus near and/or far as needed Pay Range The Project Coordinator hourly wage range is $22.00 – $25.00, depending on experience.
