Position Summary

Conquest Sports Group is seeking a detail-oriented Accounts Payable Assistant (Mandarin/Chinese Speaking) to support the Accounting and Operations teams. This role is responsible for processing vendor invoices, maintaining accurate financial records, communicating with overseas suppliers and factories, and ensuring timely payments.

The ideal candidate will be highly organized, possess strong data entry and Excel skills, and be comfortable working in a fast-paced wholesale consumer goods environment. Fluency in Mandarin Chinese and English is required, as this position will regularly communicate with factories, vendors, and suppliers in China.

Key Responsibilities

1. Accounts Payable

• Process vendor invoices accurately and timely in QuickBooks or other accounting systems.
• Match invoices with purchase orders and receiving documentation.
• Verify invoice coding and ensure proper approval procedures are followed.
• Monitor vendor statements and resolve billing discrepancies.
• Prepare and process weekly check runs, ACH payments, wire transfers, and credit card reconciliations.
• Maintain accurate vendor records, including W-9s and supporting documentation.
• Assist with annual 1099 preparation and filing.
• Reconcile accounts payable balances and assist with month-end close activities.
• Respond to vendor inquiries regarding payment status and account issues.

2. Vendor & Factory Coordination

• Communicate with overseas factories and suppliers regarding invoices, payment schedules, shipping documents, and account reconciliations.
• Coordinate with sourcing, imports, and logistics teams to ensure invoices align with purchase orders and shipments.
• Follow up on missing documentation, supplier statements, and outstanding balances.
• Assist with maintaining supplier information, pricing updates, and payment terms.

3. Purchase Order & Administrative Support

• Track purchase orders and assist in maintaining accurate records.
• Update internal reports and spreadsheets related to vendor payments and purchasing activities.
• Enter and maintain data in company databases and accounting systems.
• Assist with filing, document management, and day-to-day accounting administrative functions.
• Support the Accounting Manager and Controller on special projects and audits.
• Provide general office support as needed.

4. Reporting & Controls

• Assist with account reconciliations and financial reporting.
• Maintain organized accounting records and supporting documentation.
• Follow company internal controls and accounting procedures.
• Identify process improvement opportunities to increase efficiency and accuracy.

Qualifications

Required

• Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
• Fluency in Mandarin Chinese and English (written and verbal).
• 1+ years of Accounts Payable, Accounting, Bookkeeping, or related experience.
• Proficiency in QuickBooks .
• Strong Microsoft Excel skills, including formulas, sorting, filtering, and data analysis.
• Excellent data entry accuracy and attention to detail.
• Strong organizational and time-management skills.
• Ability to prioritize multiple tasks in a fast-paced environment.
• Strong communication and problem-solving skills.

Preferred

• Experience in wholesale, consumer goods, import/export, or inventory-based businesses.
• Experience working with overseas factories and suppliers.
• Knowledge of purchase orders, shipping documentation, and inventory processes.
• Familiarity with month-end closing procedures and account reconciliations.
• Experience with NetSuite or other ERP systems.
