Data Coordinator

Job Summary The PNOC Data Coordinator will perform independently or with general direction to support the Pediatric Neuro-Oncology Consortium (PNOC) Operations Office in the development, management, standardization, annotation, and quality control of clinical research datasets. Working under the direction of PNOC Operations Leadership, the incumbent will support data management and data quality activates across multiple PNOC studies and research initiatives. The position will focus on the development of high-quality, analysis-ready research datasets by reviewing and annotating existing clinical datasets, identifying and resolving inconsistencies, standardizing variables and data definitions across studies, and performing ongoing quality control of newly collected data. The incumbent may work with PNOC study teams and other research personnel to clarify data definitions, investigate discrepancies, and support consistent data collection and interpretation across studies. The incumbent's duties may include, but will not be limited to: creating, cleaning, annotating, updating, and maintaining comprehensive clinical research datasets; harmonizing variables and data structures across existing PNOC datasets; developing and maintaining data dictionaries and documentation; reviewing incoming study data for completeness, consistency, and accuracy; identifying missing, conflicting, or potentially erroneous data; performing data review as needed; tracking and resolving data queries; implementing quality control procedures; documenting data-cleaning and harmonization decisions; supporting the development of standardized approaches to data collection across PNOC studies; and preparing datasets for downstream research and analysis. The incumbent may interface with PNOC investigators, clinical research coordinators, project managers, data managers, and other study personnel to resolve data questions and ensure appropriate interpretation and documentation of clinical research data. The incumbent will be expected to work independently on assigned data projects while communicating regularly with PNOC Operations leadership regarding progress, outstanding questions, and data quality concerns. This is a part-time position. Department: PEDIATRIC NEURO-ONCOLOGY CONSORTIUM The Pediatric Neuro-Oncology Consortium (PNOC) was founded in 2012 in response to the growing need for innovative research in children and young adults with brain tumors. PNOC is a collaborative consortium of domestic and international institutions conducting clinical trials and translational research and collaboration in pediatric neuro-oncology. The PNOC Operations Office provides leadership and manages infrastructure supporting the consortium, including clinical trial implementation and operations, regulatory support, data management, quality oversight, and other various research initiatives. The PNOC Data Coordinator will become part of the PNOC Operations Office and will work collaboratively with study teams and Operations Office staff to support the quality, consistency, and usability of PNOC research data. % of time ( Nothing less than 5%) Essential Function (Yes/No) Key Responsibilities (To be completed by Supervisor) 15 YES Work with staff to ensure procedures are completed, specimens properly stored, and required data collected at visits; Coordinate, communicate and network with other studies and technicians to ensure efficiency; communicate with any affiliated groups. Conduct reviews of medical charts and electronic records to extract medical information and other data for use in studies. Implement needs assessments and recommendations for enhancements on patient coordination, data collection, data management, protocol adherence and study collaboration. 35 YES Manage database structure for each protocol; update databases to improve data analysis and management; create new databases as needed. Create and maintain comprehensive data sets as requested by the PNOC Operations Leadership and/or PI. Maintain data collection forms for effective data collection, entry, and analysis. Perform queries and analysis in databases. Work with Supervisor to maintain complete and accurate data in the study database; analyze the data as they become available. 5 YES Create training material including guidelines and training videos as applicable Help train staff and others on new research protocols, changes in procedures, study protocols, data collection/entry, database procedures, medical chart review and storage, and other procedures as applicable 25 YES Oversee data integrity; initiate assessments of the adequacy of existing policies and procedures on subject recruitment, data collection and data management. Update and maintain a procedure manual documenting all study-related procedures; help develop a plan to ensure consistency in data collection and data entry. Implement and maintain periodic quality control procedures and documentation 10 YES Interface with PNOC study teams, investigators, clinical research coordinators, project managers, data personnel, and other collaborators regarding questions and quality issues. Assist study teams in interpreting standardization and resolving discrepancies. 10 YES Maintain organized records of specimens and data activities, including queries and resolutions. Support preparation of high-quality datasets for research analyses, publications, presentations, and other consortium research activities Oversee the incoming data interpreted from samples and ensure that it is utilized correctly for analysis and publications. The total sum should add up to 100%. ) Required Qualifications: HS graduation and sufficient experience and demonstrated skills to successfully perform the assigned duties and responsibilities; and/or equivalent experience/training. Attention to detail; strong interpersonal skills; excellent, effective verbal and written communication skills to coordinate with subjects, team members, other departments and outside institutions; and the ability to multi-task in a fast-paced environment while working with a diverse subject population. Ability to work well independently, complete projects in a timely manner, and prioritize multiple projects to ensure the completion of essential tasks by deadlines. Prior professional clinical research experience in oncology or a closely related biomedical research setting. Preferred Qualifications: Bachelor's degree in biology, chemistry, neuroscience, public health, or related scientific discipline, or an equivalent combination of education and experience. Prior experience working with pediatric brain tumor or pediatric neuro-oncology clinical research data. Demonstrated experience abstracting and interpreting clinical information from electronic medical records and research databases, including demographic, pathologic, molecular/genomic, and treatment information. Demonstrated experience creating, cleaning, maintaining, and performing quality control of clinical research datasets. Experience working in electronic data capture (EDC) databases for clinical or translational research. Experience working with clinical and molecular data associated with biospecimen-based research, including tissue, blood, and/or CSF specimens and associated sequencing information. Experience working with genomic or molecular brain tumor data and integrating or relating molecular information to clinical research data. Experience working collaboratively with physicians, scientists, clinical research personnel, and/or biostatisticians to resolve research data questions and support multidisciplinary projects. Experience supporting multiple concurrent clinical or translational research projects. Previous experience with multi-institutional pediatric neuro-oncology research or clinical trials. Familiarity with PNOC studies, datasets, research infrastructure, or collaborative research activities. Experience contributing to pediatric neuro-oncology publications, abstracts, presentations, or other research product. Familiarity with clinical research regulatory requirements and the relationship between protocol requirements, source documentation, and research datasets. Experience developing data dictionaries, standardized variable definitions, data-cleaning conventions, or cross-study data harmonization processes. Experience preparing curated clinical datasets for statistical, genomic, or other downstream analyses.
