Job Summary: The Office Assistant is responsible for handling accounts payable, answering and routing incoming phone calls, and keeping our office fully stocked and supplied. The position includes working independently and in a team environment.

Essential Functions:
  • Greet visitors professionally and direct them accordingly.
  • Handle and route incoming phone calls.
  • Monitor and manage inventory of office supplies.
  • Organize and maintain office common areas.
  • Accounts Payable duties, including entering invoices using the proper GL accounts and scheduling vendor payments.
  • Perform administrative support tasks, including updating and sorting files, data organization, drafting and proofreading correspondence, and conducting research.
  • Assist with purchase orders for parts and stock materials, including communicating with vendors by phone and email.
  • Coordinate necessary maintenance or repairs with vendors for office equipment and building upkeep.
  • Assist with receiving incoming shipments, including ensuring correct parts are received, placing materials in the proper area, and organizing incoming paperwork.
  • Assist the Office Manager with general accounting and human resources responsibilities.
Minimum Qualifications:
  • High school diploma or equivalent.
  • 3+ years of experience as an Office Administrator or a similar role.
  • 2+ years of Accounts Payable experience.
  • Must be organized and detail-oriented.
  • Ability to prioritize tasks and multitask.
  • Comfortable working independently.
  • Willingness to learn.
  • Excellent oral and written communication skills.
  • Working knowledge of Microsoft Office programs including Excel, Outlook, and Word.
  • Proficient computer skills and ability to operate general office equipment.
  • Regular in-office attendance is required.
Preferred Qualifications:
  • Associates Degree in Business Administration, Accounting, or a related field.
  • Experience with Human Resources
Physical Demands:
  • Must be able to remain in a stationary position 50% of the time.
  • Must be able to regularly move boxes weighing up to 25 pounds
Work Environment:
  • Temperature-controlled office and shop.
Reporting Relationships :
  • The Office Assistant reports to the Office Manager
Hours
  • Monday - Friday (7:00 am - 3:30 pm)
