The Assistant Manager (AM), Campus Living Facilities, is one of two positions reporting to the Manager, Campus Living Facilities. The Assistant Manager is responsible for helping to manage day-to-day departmental facility operations and processes, ensuring quality service is provided to students and other members of Campus Living Communities (CLCs). This position assists with the development and implementation of an effective, intentional, and comprehensive facilities plan. Assistant Managers help support students, employees, and the department in advancing our mission and foundational value areas and contribute to the overall campus living experience.

The Assistant Manager, Campus Living Facilities position supports the departmental warehouse functions and services, including management of case goods, appliances, and other furniture. In addition, overseeing linen inventory, storage, cleaning, repair, and distribution. This position manages direct work orders and maintains effective partnerships with NAU Facility Services to manage and track general maintenance and trade work orders.

Student employee supervisory responsibilities include recruitment, training, supervision, and evaluation of 10-30 year-round and summer-only Campus Living Facilities Assistants (CLFAs). Responsibilities Include

50% - Campus Living Facilities Operations

• Complete regular walkthroughs and observations of campus living community (CLC) physical spaces to assess the condition of furniture, infrastructure, and grounds; provide timely follow-up on concerns and propose opportunities for improvements where appropriate.
• Complete minor furniture repairs and coordinate refurbishing, recovering, and replacement as needed.
• Perform routine pest control duties in Campus Living buildings, including initial response and follow-up.
• Coordinate pest control vendor response for extensive pest issues.
• Identify and implement pest-exclusion work in buildings in coordination with NAU Facility Services and vendors.
• Track and maintain furniture by building and space type to ensure high-quality appearances in all student spaces.
• Maintain appearance and functionality of furniture in the main lobby and secondary common areas of all CLCs.
• Manage logistical details and supervise student employees assisting with CLC renovations, turnovers, and large volume case goods receiving, assembly, and delivery to buildings.
• Maintain all equipment in good working condition.
• Ensure the warehouse is regularly cleaned and organized to ensure safe and efficient operations and inventory control procedures.
• Assist in oversight of the Campus Living vehicle fleet, meeting all requirements for NAU vehicle maintenance and registration.
• Oversee the botany program for all CLC common areas.
• Coordinate planning and execution of annual cast-off community donation program during each May closing, including contracting outside non-profit partners.
• Manage inventory, laundering, distribution, and recovery of linens through extensive communication and coordination
• Develop and implement a process for communicating linen needs.
• Collaborate with NAU Summer Camps and Conference office and utilize EMS system to determine linen needs for specific conference groups in advance.
• Prepare overall linen inventory during the academic year for use in the summer conference program.
• Establish and maintain linen and cleaning rooms in each CLC used for summer camps and conferences.
• Serve as a liaison between Campus Living employees and Campus Living Facilities/NAU Facility Services; meet with Campus Living employees as needed.
• Regularly communicate with CLC Coordinators and Campus Living Assistant Directors to provide updates on their communities and respond to needs or inquiries.
• Assist in turnover of Campus Living employee apartments, including assessment of furniture needs; coordinate and communicate with NAU Facility Services and supervising Campus Living Assistant Directors regarding employee apartment turnover.
• Establish and maintain strong relationships and communication with NAU Facility Services, Campus Living, and other University employees.

20% - Student Staff Supervision and Development

• Participate in departmental staffing efforts, including inclusive, intentional and comprehensive recruitment, selection, onboarding, and training processes.
• Recruit, hire, train, supervise, and evaluate 10-30 Campus Living Facilities Assistants (CLFAs).
• Foster teamwork, productivity, accountability, and a positive work environment among employees.
• Operate, manage, and train student employees on warehouse equipment.
• Schedule student employees for maximum efficiency and ensure employees are available to complete emergent, high-priority work orders and high-volume work periods.
• Delegate assignments and establish priorities for workflow and efficient use of available employee hours; determine and assign additional tasks and projects outside of work orders.
• Conduct individual and team meetings as needed with staff to provide updates, training, and instructions.
• Monitor employee performance; provide clear, comprehensive, and timely performance feedback on a regular basis; utilize training tools and progressive accountability to improve performance; conduct performance reviews.

20% - Administration

• Manage work order processes, including prioritizing needs, dispatching staff, and ensuring work is completed effectively and efficiently; verify work orders are completed and closed out promptly.
• Communicate with NAU Facility Services trades, Campus Living team members, and students regarding facilities-related work in their communities.
• Use the TMA work order software and communicate regularly with the NAU Facility Services Work Control Center regarding CLC work orders.
• Analyze work orders to determine follow-up needs and review costs.
• Ensure completion of work related to claimable damages; track and process insurance claims for damages in CLCs in collaboration with NAU Contracts, Purchasing, and Risk Management.
• Complete and reconcile purchases for the Campus Living Facilities area following all University policies and procedures.
• Assist with management of Campus Living card access process, affiliate forms, and assignment of door access to approved individuals and groups.
• Complete regularly required NAU safety trainings.
• Follow Arizona State Laws regarding health, safety and environmental guidelines.
• Ensure proper use of Personal Protective Equipment (PPE).
• Operate university vehicles and other motorized equipment to relocate furniture.

5% - Departmental Engagement

• Coordinate and perform a range of staff and/or operational support, designated projects, or activities for regular and cyclical operations within the facilities area, the department, and the University.
• Develop positive working relationships within Campus Living and with other campus departments, agencies, and resources that serve students, employees, and guests.
• Participate in regular Campus Living meetings and quarterly retreats.
• Serve on department committees and work groups as needed.
• Collaborate with leadership team, departmental staff, and University/divisional campus partners to plan and implement intentional and ongoing employee training and development opportunities as needed
• Communicate trends, concerns, and achievements regularly with supervisor and leadership team.

5% - Other

• Other duties as assigned.

Minimum Qualifications

• High school degree.
• 1 years of relevant experience.

*A combination of related education, experience, and training may be used as an equivalent to the above Minimum Qualifications.

Preferred Qualifications

• Bachelor’s degree in related field.

Compensation

Salary range is $51,085-$56,000. Annual salary commensurate with candidate's qualifications and related experience.
