Position Overview

The Patient Access & Mental Health Intake Specialist serves as the first point of contact for individuals seeking behavioral health services. This role is responsible for guiding patients through the intake process, coordinating appointments, maintaining accurate records, and supporting providers with administrative operations that contribute to efficient, high-quality patient care.

Success in this role requires excellent communication skills, strong attention to detail, professionalism, and the ability to create a welcoming experience for patients from diverse backgrounds.

Key Responsibilities

  • Welcome patients with professionalism, empathy, and respect.
  • Manage patient registration, scheduling, and appointment coordination.
  • Complete new patient intake documentation accurately and efficiently.
  • Verify insurance eligibility and update demographic information.
  • Maintain confidential electronic health records in accordance with HIPAA requirements.
  • Coordinate referrals between psychiatrists, therapists, primary care providers, and community resources.
  • Assist providers by preparing patient documentation before appointments.
  • Respond to patient questions regarding services, scheduling, and clinic procedures.
  • Answer incoming telephone calls and electronic communications promptly.
  • Monitor daily provider schedules and adjust appointments when necessary.
  • Process patient forms, authorizations, and required documentation.
  • Support medication refill requests following clinic procedures.
  • Coordinate follow-up visits and continuity of care.
  • Identify scheduling priorities for urgent psychiatric appointments.
  • Maintain organized digital and physical records.
  • Collaborate with clinical and administrative staff to improve workflow efficiency.
  • Participate in quality improvement initiatives and departmental meetings.
  • Follow organizational policies, privacy standards, and healthcare regulations.
  • Perform additional administrative and patient support responsibilities as assigned.

Qualifications

  • High school diploma or equivalent required.
  • Associate or Bachelor's degree in Healthcare Administration, Psychology, Human Services, Public Health, or a related field is preferred.
  • One or more years of experience in healthcare, behavioral health, medical reception, patient services, or care coordination is preferred.
  • Outstanding customer service and interpersonal communication skills.
  • Ability to maintain confidentiality while handling sensitive information.
  • Strong organizational and multitasking abilities.
  • Experience working with Electronic Health Record (EHR) systems is preferred.
  • Basic understanding of healthcare terminology.
  • Comfortable using Microsoft Office and office technology.
  • Strong written and verbal communication skills.
  • Ability to prioritize responsibilities in a fast-paced clinical environment.

  • Behavioral health or psychiatric office experience.
  • Insurance verification knowledge.
  • Appointment scheduling experience.
  • Medical records management experience.
  • Excellent problem-solving skills.
